What are the responsibilities and job description for the Beverly Hills Plastic Surgery Front Desk Office Receptionist position at Kevin Brenner, MD, Inc.?
This is a full-time on-site role for a Front Office Receptionist at our Beverly Hills, CA location.
Pay range: $28-$30/hr depending on experience
Communication & Coordination
- Answer multi-line phone system; route calls or take messages
- Answer patient inquiries about procedures, pricing, policies, and booking appointments/consultations
- Communicate patient inquiries, concerns, urgent issues, and follow-up needs to the correct coordinator, clinical staff, or physician in a timely and professional manner
- Provide schedule updates, changes, or reminders to both doctors’ teams proactively and without delay
- Keep relevant staff informed of important updates, changes, or patient-related concerns throughout the day
- Communicate clearly and concisely via email, messaging platforms, or in person as appropriate
Scheduling & Calendar Management
- Maintain clinic schedules; adjust for changes or cancellations efficiently and as needed
- Confirm appointments 72 hours in advance, ensuring the schedule is accurate and up to date
- Identify potential schedule conflicts or gaps and take initiative to review the upcoming schedule to move up any appointments
Patient Check-In / Check-Out
- Welcome and check patients in and out
- Verify and update patient demographics prior to patient departure (cross-reference intake paperwork)
- Collect payments and issue receipts
Patient Paperwork & Prep
- Confirm patient paperwork completion
- Prepare folders for new patients
- Stay ahead of weekly needs—check schedules in advance to proactively prepare materials or identify missing documentation
- Check e-fax daily and notify appropriate staff members for outstanding inbox items
Administrative & Office Tasks
- Sort and distribute incoming mail and packages
- Open all packages on the day they are delivered and organize or put away items accordingly
- Monitor front office supplies and place inventory orders before running out
- Maintain a clean, organized, and professional front desk and reception area
- Keep kitchen clean & well-stocked, empty dishwasher every morning, and empty out fridge at the end of every week
Independent Work & Professionalism
- Take ownership of assigned responsibilities; complete tasks independently and without supervision
- Prioritize tasks efficiently based on urgency, schedule, and patient needs
- Be proactive in identifying issues (missing paperwork, scheduling conflicts, inventory needs) and resolving them or escalating appropriately
