What are the responsibilities and job description for the CEDARS/HR Assistant position at Kettle Falls School District?
The District CEDARS / HR Assistant is the operational heartbeat of our District Office. This multi-faceted role requires a unique blend of exceptional customer service, meticulous data management, and human resources support. As the first point of contact for the public, you will shape the district's first impression while simultaneously managing critical state reporting (CEDARS), school board administration, and personnel compliance. Key Responsibilities – includes but not limited to
1. Front Office & District Reception
- Serve as the primary district receptionist, managing the main phone lines with a welcoming and professional demeanor.
- Order and maintain inventory for all district office supplies.
- Maintain central bulletin boards (ensuring safety and personnel compliance posters are current) and distribute updates to all building sites.
- Maintain and update the official District Staff Directory.
2. Student Data & State Reporting (CEDARS)
- Manage the CEDARS (Comprehensive Education Data and Research System) data entry, tracking, and compliance.
- Oversee student enrollment processes and coordinate the year-round administration of Choice Forms.
- Process Home School Forms annually.
- Assist with the compilation and submission of the Civil Rights Data Collection (CRDC) report.
- Oversight of district Skyward student information system.
3. Board of Directors Support & Governance
- Coordinate the preparation, assembly, and distribution of Board meeting agendas and materials.
- Attend Board meetings and transcribe official meeting minutes.
- Maintain and update the District Policy policies.
- Manage formal Record Retention schedules and archives in accordance with state laws.
4. Human Resources & Compliance
- Maintain up-to-date and highly confidential Personnel Records and filing systems.
- Facilitate employee fingerprinting records and manage background checks via the WATCH List.
- Track and monitor staff compliance with Safe Schools training modules.
5. Business Operations & Fiscal Support
- Process, log, and prepare daily receipts and monetary deposits.
- Maintain the district's Small Works Roster for contractors and vendors.
- Oversee asset tracking and District Inventory management.
- Coordinate school insurance tracking and reporting through Clear Risk.
- Coordinate time-sensitive district-wide initiatives, including Annual Notices (September) and Bulk Mailings throughout the year.
Qualifications & Skills
- Education: High School Diploma or equivalent required.
- Experience: 3 years of experience in public schools, preferably school secretary.
- Technical Skills: Proficiency with student information systems CEDARS/Skyward, Microsoft Office Suite, and Google.
- Confidentiality: Absolute discretion and ability to handle sensitive personnel and student data.
- Organization: Exceptional time-management skills with the ability to handle a seasonal workflow (e.g., heavy compliance pushes in September and October).
- Communication: Excellent written and verbal communication skills for interacting with state agencies, staff, parents, and board members.
TERMS OF EMPLOYMENT and Salary:

The salary range is between $74,430 and $87,598 per school year.
Each employee shall accumulate twelve (12) days of sick leave per year. An employee employed less than a full term shall be entitled to a proportionate part of the sick leave allowance. Each employee shall earn three (3) annual leave days per year. Employees less than 1.0 FTE will receive a prorated share of annual leave based on their percentage of FTE. Additionally, employees shall earn annual vacation leave based on their years of experience.
Employees anticipated to work more than 630 hours per year will be eligible for Benefits through the School Employees Benefits Board (SEBB). Standard benefits include Medical, Dental, Vision, Life Insurance, and Long-Term Disability. Positions anticipated to work 70 hours or more per month for at least 5 months over the school year are eligible for Retirement through the State Department of Retirement Services.
