Job Title: Business Support Specialist
Department: Administrative
Reports to: President and VP of Operations
FLSA Status: Non- Exempt
Purpose
The Business Support Specialist/Office Manager is the cornerstone of the company's daily operations, ensuring a productive and organized work environment. This role is responsible for the overall administrative functions of the office and provides essential, specialized support to the Production, Accounting, and Quality departments, facilitating cross-functional efficiency and alignment with company goals.
Primary Responsibilities
- Oversee and maintain all daily office operations to ensure a productive, safe, and efficient work environment.
- Manage office vendor relationships and facility logistics, including assistance with coordination of all building repairs, services, and equipment maintenance.
- Maintain inventory and manage procurement of all general office supplies, materials, and facility needs.
- Handle internal and external communication flow, including managing correspondence, reception, and acting as the primary point of contact for external stakeholders.
- Provide direct administrative support to the leadership team.
- Facilitate the administrative aspects workstation readiness and maintenance including IT set up and onboarding assistance
- Support fundamental Accounts Payable (A/P) and Accounts Receivable (A/R) processes, including invoices, payment matching, and bank deposit preparation.
- Manage the purchasing and tracking of all non-raw material Purchase Orders (POs), coordinating vendor communication and resolving basic billing inquiries.
- Track and manage raw material purchase orders to assist in supply chain and production scheduling.
- Serve as the central administrator for critical departmental documentation and record-keeping, managing the organization and archival of Production Work Orders, Quality Reports, and Standard Operating Procedures (SOPs).
- Facilitate the production workflow and communication across departments by assisting with schedule distribution, material logs, and cross-functional information transfer.
- Support quality assurance and compliance tracking through data entry, report compilation, and coordinating the scheduling of essential equipment calibration and maintenance.
- Assist and support in cross functional and departmental audits and projects.
Job Competencies/Success Factors
- Proven experience as an Office Manager, Administrative Manager, or similar role, preferably in a manufacturing or production-based environment.
- Strong proficiency in Google Workspace systems.
- Netsuite Experience is a plus.
- Knowledge of basic accounting principles and office management procedures.
- Exceptional organizational skills, attention to detail, and ability to manage multiple priorities.
- Excellent written and verbal communication skills for effective cross-departmental collaboration.
- High level of integrity and ability to handle confidential information with discretion.
