Job Summary
The Patient Access Representative (PAR) is the first Clinic services impression to provide patient interaction at the beginning and end of each visit. Incumbent will assist in care coordination between the patient and clinic staff by scheduling patients, verifying insurance / eligibility, enrolling patients in the information portal, and assisting in obtaining important information concerning the transmission of disease prior to arrival in the clinic.
Assists with department coverage as needed and performs other related duties as assigned.
Job Duties & Responsibilities
- Completes pre-registers / registers patient with accurate patient demographic and financial data.
- Upon registration verifies address and co-insurance for scheduled appointment/procedures.
- Verifies coverage and ensures all insurance requirements are met
- Manages daily appointment schedules which may include reminder calls May transport patients utilizing escort or wheeled transport equipment.
- Greets patients and visitors in person or on telephone.
- Provides directional assistance for those accessing the clinic and observing patients waiting in the lobby for any signs of distress.
- Answers or refers inquiries to the appropriate department or individual.
- Effectively managing conflict in an understanding and professional manner.
- Approach all tasks using excellence in customer service and the use of good interpersonal skills.
- Adheres to safety procedure, remains vigilante and informs security of any unusual activity.
- Completes safety modules and performs duties as delegated during an emergency.
- Ensures HIPAA compliance.
- Other related duties as assigned

The environment involves the usual risks and stress of an office environment within an ambulatory health care facility. The employee may be exposed to communicable diseases. Safety precautions for employees such as blood drawing for screening of various diseases such as hepatitis, required immunizations, etc. are necessary. The employee is occasionally subject to verbal abuse, threats, and physical violence from angry, hostile, or disgruntled patients and/or family members.
Conditions of Hire
- May be required to possess and maintain a valid driver's license or capable of obtaining one, as well as be insurable by KIC’s company insurance.
- KIC is a Drug-Free Workplace. All employees must adhere to KIC drug and alcohol policies and procedures to ensure a safe workplace. Employees must pass a pre-employment and subsequent random and/or for cause drug and alcohol screening to be eligible for and maintain employment.
- KIC has several positions that must comply with the P.L. 101-630 Indian Child Protection and Family Violence Protection Act (ICPA); all employment offers in the "covered" classification are conditional until KIC has received a Federal criminal background check verifying eligibility to work in these programs.
Minimum Qualifications (Education & Experience)
- Highschool Diploma or GED Required
- One-year customer service, registration processing, medical office or computer database experience.
- A combination of relevant experience, education, and training may substitute for education and experience requirements on a year-for-year basis.
- Proof of valid driver's license with acceptable driving record
Preferred Qualifications (Education & Experience)
- Two (2) years customer service, registration processing, medical office or computer database experience preferred.
- Progressive responsible administrative/management work
- Experience in a community clinic preferred and a strong commitment to multi-disciplinary teamwork.
