The purpose of this position is to ensure smooth day-to-day operations of the practice while providing superior customer service to existing clients and prospects. Position requires employees to perform industry specific tasks such as application submission and account transfer follow-up, incoming new business client calls, database management, and client appointment preparation including preparation of paper and e-applications for each designated advisor.

The purpose of this position is to ensure smooth day-to-day operations of the practice while providing superior customer service to existing clients and prospects. Position requires employees to perform industry specific tasks such as application submission and account transfer follow-up, incoming new business client calls, database management, and client appointment preparation including preparation of paper and e-applications for each designated advisor.
What You’ll Do
Daily:
- Receive incoming new business client calls in a friendly, warm manner
- Record notes from every client conversation in the Redtail database, alert Partners if issues arise
- Attend client meetings as needed to complete any necessary applications and transfer paperwork
- Complete and process new business applications – start to finish
- Track all pending applications/pending transactions
- Create appropriate client file for each new account – electronic and paper as needed
- Submit any additional client contributions/check deposits to appropriate accounts
- Follow-up on pending new business work with the appropriate companies
- Resolve any issues regarding new accounts, transfers or amendments
- Update client weekly on their accounts and enter all data in Redtail
- Assist advisor with pre-appointment preparation (applications, etc.) by reviewing the advisors weekly calendar for upcoming appointments
- Complete, submit and maintain compliance logs for all check deposits
- Assist in training new advisors the process for new business paperwork
- Ensure any paper applications/transfer paperwork is readily available and stocked in the New Business office
- Process Broker/Dealer change paperwork
- Assist with any New Business related special projects or audits
- Prior experience working in financial industry (ideally ACAT experience)
- Highly organized with strong follow-through
- Process driven while completing tasks
- Ability to prioritize day-to-day tasks and issues
- Resourceful in problem resolution
- Phenomenal phone skills and ability to build trust with clients
- Operate with a proactive approach when dealing with advisor and clients
- Experience working in a fast-paced environment
- Ability to prioritize projects and manage time
