HVAC Office Administrator
We are seeking a sharp, organized Office Administrator to manage our daily operations. You will be the primary link between our customers and our employees and field technicians (as required), ensuring the schedule is full and our clients are happy.
Core Responsibilities
- Dispatching: Answer service calls and route technicians efficiently across the [Local Area].
- Customer Support: Handle inquiries, provide ETAs, and book maintenance appointments.
- Billing/Invoicing: Generate customer invoices and process payments daily.
- Permit Filing: Coordinate with local building departments for installation permits.
- Office Support: Maintain customer files and assist with parts ordering/tracking.
- Bookkeeping:AR,AP and GL experience
- Requirements
- Trades Experience: 1–2 years of experience in HVAC, Plumbing, or Construction office work.
- Software Skills: Proficient in Quickbooks and Microsoft Office.
- Local Knowledge: Familiarity with Millis, MA and the surrounding areas geography for smart scheduling )GPS Assisted).
- Multitasking: Ability to handle high call volumes during peak weather seasons.
