Job Description: Account Manager
FULLY REMOTE WITH 1 IN-PERSON TEAM MEETING IN LOUISVILLE PER MONTH
The Account Manager is responsible for the overall management of a caseload of clients, assigned to them by their supervisor at Kept, Inc. Caseloads can vary by funding sources, disability types, age and living circumstances. Account Managers are primarily responsible for following SSA POMS regarding the requirements of an organizational representative payee. They are also responsible for abiding by Medicaid and DCBS financial requirements for state level benefits to continue (i.e. medicaid waiver programs & State supplement funds). The Account Manager ensures that the finances of each person served on their caseload are used to meet their current needs and have considered their near- future needs when deciding how to spend the money in Kept’s care. Pay 4 Performance metrics provide up to $6,000 in bonuses for an annual salary of $38,240. Caseloads are maxed at 70 clients to allow personalized care, 2 hours a month each client for a total of 35 hours per week worked.
Experience Required:
2 years experience in Finance and/or Account Management or an Associate Degree. Have a state police criminal record check for any state resided in during the previous year. If there is a prior conviction of any offense delineated in KRS Chapter 17.165 (1)-(3) or prior felony conviction, the applicant shall not be employed. Thorough knowledge of community-based services/supports, community resources and funding sources, quality of services, and social and health intervention techniques is preferred. Preferred ability to facilitate the cooperation of individuals served, their families, service providers, paid staff, and volunteers and stimulate the cooperation of community agencies or individuals. Possess the ability to speak, write, and problem-solve and the ability to maintain records in a clear and concise manner. Possess the ability to handle multiple tasks, be computer literate, possess a required valid state driver’s license, insurance, and reliable transportation. Ability to understand and commit to the Kept, Inc. mission and values.
The responsibilities of an Account Manager include but are not limited to:
- Help clients change their billing address for all financial obligations.
- Create a budget which takes into account all income and expenses and prioritizes housing cost, utility cost, food cost, medical expenses and personal items like hygiene and clothing.
- Ensure Kept Inc is aware of all financial obligations (to include life insurance, medical cost and pharmacy bills) and prioritizes payments based on the client’s circumstances to ensure housing, basic needs and health needs are met.
- Ensure Kept Inc is aware of all income and assets. SSA requires all income to be reported, therefore we must be aware of all earned and unearned income sources and assets.
- Identify collection debts and inform the client/guardian- work with the client/guardian to decide how much/which debts will be paid from savings after basic needs are met. Individuals on SSI/SSA are not required to pay their debts (unless it is with the IRS) and have a choice in this matter. Debts should not be paid if it affects their current basic needs being met.
- Create bill boxes which accurately reflect the date of planned payment, payment method, and vendor account. This includes the client’s discretionary spending.
- Manage asset accumulations based on client’s income type and restrictions.
- Helping the individual make a large price purchase like a vacation, furniture, technology, etc. This must be discussed with the individual and decided by them before purchasing on their behalf.
- Provide financial details to the individual or their social service helper for housing, Medicaid and DCBS related annual recertifications or for additional financial/ social benefits the individual may be eligible to receive.
- Report Wages to SSA when the individual turns in pay stubs for reporting.
- Complete LIHEAP or other financial assistance applications as a representative for the client when necessary. We encourage individuals to be as independent as possible but if their disability prevents them from completing an application for financial assistance, as the representative payee we need to complete this on their behalf and help coordinate the receipt of financial assistance when a client is eligible.
- Complete 30-day check ins with the client or a reliable collateral contact (i.e family home provider, case manager, PSH case manager) and document.
- Assess for SSA reportable changes
- Assess the overall wellbeing of the individual to include how they are spending their food money and if they need assistance maintaining their health and hygiene.
- Assess for abuse, neglect and exploitation.
- Answer any budget related questions and be willing to review their budget/make changes each month.
- Keep client information up-to-date in database.
- Respond to all communication by client, guardian, care team or other agencies within 1 business day..
- Complete all SSA reports for caseload clients and return to the management staff
- Complete weekly supervision meetings and attend all scheduled all staff meetings to include 1 IN PERSON TEAM MEETING.
- Complete work within the hours allowed and adhere to all Pay for Performance standards.
- Review and/or process all “mail” and related client documents within 24 hours of upload or receipt; while maintaining up-to-date, organized client files on the drive with pertinent information needed for policies and procedures.
- Complete annual reviews for all individuals on caseload.
