Knowledge and Experience:

  • Four (4) years of progressively responsible experience in payroll administration, project management, data analysis using manual and automated financial systems and quality assurance
  • Must have intermediate proficiency in Microsoft Office Suite, with a high-level proficiency in Excel
  • UltiPro experience preferred
  • Basic math knowledge is a must
  • Accurate ten key speed is also a must
  • Must have high level of attention to detail
  • Must have the ability to download and analyze various payroll reports
  • Must be able to accurately interpret payroll rules in labor contracts
  • Experience with clearly presenting findings and recommendations to employees and management required
  • Able to work flexible hours to meet the needs of the business
  • Must maintain confidentiality and safeguarding of sensitive material
  • Delivery of excellent customer service to fellow employees that have payroll questions and concerns
  • Demonstrated ability to work effectively in a diverse environment
  • This position requires professional, technical, administrative, analytical, and confidential work of a complex nature.
  • Ability to keep accurate payroll files

Key Accountabilities:

Strategy & Governance

  • Ability to communicate effectively and maintain highest level of company standards
  • Verify timekeeping records and consult supervisors/managers about any discrepancies
  • Poll electronic time clocks (DCS time software) and review the downloaded information for completeness and
  • Run daily reports to verify payroll and time/attendance data against scheduling data
  • Ensures all timecard data (hours, coding, and rates) is complete and accurate prior to hand off to Corporate Payroll to lock down timecards to prevent further editing and extract hours for processing
  • Review employee data, analyze and evaluate employee time/attendance and pay records within the personnel/payroll systems to ensure compliance with policies and procedures
  • Responsible for creating reports to verify and enter accurate Holiday pay
  • Manually enters ad hoc time, such as meetings, to employees’ timecards
  • Process involuntary deductions such as levies and garnishments
  • Sort and distribute checks to departments and employees
  • Prepares special reports for management
  • Maintains payroll and related records recording the accumulation and use of vacations, PTO and sick
  • Contact various department supervisors/managers for any missed
  • Resolves payroll discrepancies by collecting and analyzing
  • Provides payroll information by answering questions and
  • Maintains payroll operations by following policies and procedures, reporting needed
  • Maintains employee confidence and protects payroll operations by keeping information confidential.
  • Other duties as assigned

Business Processes

  • Oversee and direct all payroll preparation according to CBA – collective bargaining agreements, policies, and procedures
  • Develop systems to process payroll account transactions
  • Ensure compliance with applicable laws and payroll tax obligations
  • High level of expected collaboration with Human Resources, Corporate Payroll, and Corporate Time & Attendance
  • Maintain accurate records and prepare reports
  • Resolve issues and answer payroll-related questions

Reporting

  • Accrued payroll and Accrued vacation/PTO reporting
  • Ad hoc requests

Physical Demands and Work Environment

  • 100% of work is accomplished indoors and in air conditioned or well-ventilated facilities.
  • May perform physical activities that require considerable use of the arms, repetitive hand-wrist motion, and legs and moving the whole body, such as climbing, lifting, balancing, walking, stooping, and handling of materials
  • Work is accomplished in an office or in a cubicle space equipped with a telephone and computer.
  • The employee is generally subjected to long periods spent sitting, typing, or looking at a computer screen.
  • Must submit to drug testing and a criminal background check.
