Job Summary
The Assistant Activities Director/Activities Coordinator provides operational and administrative support for grades 7–12 activities and athletics. This position coordinates event logistics, concession operations, transportation scheduling, student eligibility tracking, and departmental communications while assisting the Activities Director in ensuring the successful operation of extracurricular programs and events.
Concessions Management
- Manage all concession operations for grades 7–12 activities and athletic events.
- Order and maintain concession inventory.
- Coordinate vendor relationships and purchasing.
- Recruit, schedule, and communicate with booster clubs, student groups, and volunteers.
- Oversee cash handling procedures and financial reconciliations.
- Ensure compliance with district financial and audit requirements.
Event and Game Management
- Coordinate setup and teardown of facilities for activities and athletic events.
- Ensure event workers, ticket takers, clock operators, announcers, and support staff are scheduled and prepared.
- Serve as the on-site contact for operational and logistical needs during events.
- Assist with supervision and coordination of middle school and high school events.
- Support the Activities Director in providing a safe and positive event environment.
Administrative Support
- Maintain activity and athletic records.
- Manage Bound/rSchool data entry and updates.
- Monitor student physicals, eligibility requirements, and participation records.
- Schedule and confirm transportation for activities and athletic trips.
- Assist with event scheduling and departmental calendars.
- Prepare correspondence, reports, and other departmental communications.
Communications and Public Relations
- Maintain the activities department website and social media platforms.
- Promote activities, events, and student achievements.
- Provide information and support to students, parents, coaches, and community members.
- Serve as a positive representative of the district and activities department.
Program Support
- Assist with coordination of grades 7–12 extracurricular programs.
- Support coaches, sponsors, and activity advisors with operational needs.
- Promote consistency and continuity between middle school and high school programs.
- Perform other duties as assigned by the Activities Director.
