Overview:
Kentucky Planning Partners, LLC is seeking a full-time Front Desk Receptionist to provide essential guest relations to our clients and operational support to our team of financial advisors and our firm. The ideal candidate will be highly motivated to greet every client with a white glove service approach and eager to learn and enhance internal systems, and must maintain a professional demeanor, punctuality, and appropriate appearance.
Key Responsibilities:
Front Desk & Client Service
- Greet clients and visitors in a professional, friendly, and welcoming manner
- Answer, screen, and direct incoming phone calls
- Schedule and confirm client appointments
- Maintain a clean and organized reception area
Administrative Support
- Prepare and organize client paperwork before meetings
- Scan, file, and maintain client documents (physical and digital)
- Perform basic data entry into CRM or financial planning software
- Handle incoming and outgoing mail
- Order office supplies as needed
Team Support
- Assist advisors with meeting preparation (printing reports, assembling folders, etc.)
- Follow up with clients for missing documents when requested
- Help maintain client contact lists and track birthdays/anniversaries
- Support occasional client events, mailings, and vendor coordination
Scheduling & Coordination
- Manage calendars and coordinate appointments for the team
- Book meeting rooms and assist with internal and vendor-related scheduling
Security & Safety
- Monitor front desk activity to help ensure office security and safety
Qualifications
- Strong communication and interpersonal skills
- Professional phone and email etiquette
- Organized, detail-oriented, and able to multitask
- Basic proficiency in Microsoft Office or Google Workspace
- Ability to handle confidential information with discretion
Preferred / Helpful
- Experience with a CRM system or Redtail
- Background in financial services or related industry
