Role Description The Administrative Assistant role is a part-time hybrid position based in Boca Raton, FL, with some work-from-home flexibility. In this role, the Administrative Assistant supports daily office operations by managing phone calls, scheduling meetings, organizing files, and handling correspondence. Responsibilities include assisting with executive calendars, preparing documents and presentations, maintaining databases and records, and coordinating logistics for client meetings and property-related activities. The role also involves performing general clerical tasks, updating internal systems, and ensuring efficient communication between team members, clients, and external partners.
Qualifications
- Strong Administrative Assistance and Clerical Skills to manage scheduling, filing, document preparation, and office coordination.
- Professional Phone Etiquette and Communication skills to handle calls, emails, and client interactions clearly and courteously.
- Experience with Executive Administrative Assistance, including calendar management, meeting coordination, and support for senior leadership.
- Proficiency with office software (e.g., MS Office or similar), basic data entry, and online document management tools.
- Excellent organizational skills, attention to detail, and ability to manage multiple tasks and priorities in a fast-paced environment.
- Ability to work independently and collaboratively in a hybrid setting, maintaining reliability and confidentiality.
