POSITION SUMMARY:  This position is responsible for supporting the Investment Management & Trust team goals; developing and enhancing a positive and consistent experience for clients and prospects through direct contact with clients/prospects; supporting the prospect and client development initiatives. This position will also serve as primary backup to the Trust Administrator’s duties and responsibilities. 


KEY RESPONSIBILITIES: 

Provide comprehensive administrative and client service support to Trust Officers and Relationship Managers to deliver exceptional client experience for Investment Management and Trust clients. Support the Trust Team in achieving and exceeding annual business goals and objectives.

Serve as a liaison between clients, Investment and Trust Department personnel, Bank staff, and external vendors to address account-related matters, facilitate issue resolution, and respond to client inquiries in a timely and professional manner. Process and coordinate routine client transactions and service requests.

Coordinate department-wide client communications, including paper and electronic statements, financial plans, and other client correspondence. Support client communication strategies by scheduling and coordinating client meetings and follow-up activities.

Assist with the planning, preparation, and distribution of materials for client, prospect, and internal meetings, including financial planning documents and presentations. Support the completion of annual client reviews and related documentation.

Prepare and distribute monthly departmental reports, maintain accurate client records, and serve as the department's CRM system liaison, providing support for data integrity, reporting, and user coordination.


Trust Administrator Support: Act as back up support to Trust Administrator Duties including daily workflow responsibilities. Provide support and back up preparation of the quarterly KSB board of directors Trust Committee package. Coordinate and prepare material for monthly Trust subcommittee. Provide back up support to Trust Administer to Administer the PG Calc system software and tracking. 


Business development/ Bank Referrals: Maintain various business development and tracking metrics to support the team goal to exceed new business goals as well as achieve robust referrals to bank partners. Coordinate and assist with RFP (Request for Proposal) creation. Administer department sales pipeline and referral reports. Keep current on the Bank’s retail offerings. 


Support Bank products/services: Maintain knowledge of current Bank products and services. Actively utilize as many Bank products and services as possible in order to fully understand their features and benefits and to be able to communicate effectively with customers and prospective customers.


Community/public relations: Actively participate in community organizations and events. Represent the Bank in the community. 


Other duties: Demonstrate reliable attendance and punctuality. Handle telephone inquiries and provide information to vendors and other departments in a professional and courteous manner. Attend and participate in Bank meetings. Attend internal and external training to improve skills and knowledge relevant to the trust assistant position.

Requirements

  

EDUCATION/EXPERIENCE REQUIRED:

  •  Associate’s degree or equivalent work experience.
  •  1 to 3 years of experience in the financial services industry preferred.
  •  Computer literate, with specific experience in word processing and spreadsheet applications.
  •  Highly organized, with absolute attention to detail.
  •  Team player, collaborative, and able to work with and through others.
  •  Must be able to communicate with people in a confidential, supportive and professional manner in person, by telephone, and written correspondence.

OTHER REQUIREMENTS:

  •  Must be able to read and work with computer printout reports.
  •  Must be able to spend extended periods working at a computer.
  •  Must be able use the telephone to converse with customers; must be able to communicate clearly by telephone; must have good listening ability and skills.
  •  Must have strong written communications skills, including letter-writing ability.
  •  Must be able to prioritize and organize workflow; must have good attention to detail; must be able to handle multiple jobs.
  •  Must have the ability to think through a problem, following proper steps in finding resolution.
  •  Must have a high degree of ethics and maintain confidentiality of customers and accounts.
  •  Must be friendly, courteous and sensitive to the needs of customers and coworkers.


  Salary Range: Compensation for this position is based on knowledge, skills, experience, and demonstrated competency within the role.


Developing - Minimum: $21.20

Proficient - Midpoint: $25.06

Exceptional - Maximum: $28.92
