Position Summary
The Procurement & Inventory Coordinator is a hands‑on operations role responsible for the end‑to‑end flow of materials - from receiving and warehousing through procurement support, inventory accuracy, and job readiness. This role is critical to ensuring technicians, projects, and customers receive the right materials at the right time.
Success in this position requires strong warehouse execution skills combined with inventory coordination and procurement support. The coordinator works across multiple warehouse locations and technician fleets in a fast‑paced, job‑driven environment, serving as a key link between purchasing, operations, dispatch, and accounting
Duties and Responsibilities
- Warehouse, Shipping & Receiving Operations
- Receive, inspect, verify, label, and stage incoming materials in alignment with purchase orders and documentation
- Accurately receive inventory and update material movement within the ESC ERP system
- Apply and manage barcode labeling to ensure inventory traceability and accuracy
- Stage materials for stock, work orders, transfers, and customer shipments with a clear focus on job readiness
- Prepare outbound shipments using UPS or similar shipping platforms, ensuring correct documentation and packaging
- Maintain clean, organized, and clearly labeled warehouse and staging areas
- Prioritize daily tasks based on job urgency, material dependencies, and operational needs
- Document work clearly and communicate effectively with dispatch, technicians, and operations teams
Inventory Coordination & Control
- Maintain accurate inventory records across multiple shop warehouses and technician vehicles
- Organize, standardize, and audit inventory storage locations, binning, and material flow
- Track receipts, discrepancies, shortages, and damaged materials through resolution
- Manage returns for defective, damaged, incorrect, or unneeded inventory, including vendor coordination, documentation, and credits
- Analyze material usage patterns to support stocking decisions and reduce overstock or shortages
- Ensure consistent labeling, handling, and tracking practices are followed across all locations
Procurement Support & Cross‑Functional Collaboration
- Assist the Purchasing Manager with stock replenishment and work‑order purchasing activities
- Generate and manage RFQs to obtain vendor pricing, lead times, and availability
- Track purchase orders, backorders, and delivery timelines to support operational planning
- Act as a cross‑functional partner to purchasing, accounting, dispatch, and operations to resolve material and inventory issues
- Support continuous improvement of inventory accuracy, procurement efficiency, and warehouse workflows
Qualifications
- High school diploma or equivalent
- Demonstrated experience with shipping, receiving, warehousing, or material handling
- Strong attention to detail with the ability to manage inventory accurately
- Basic computer proficiency and comfort working within ERP or inventory systems
- Ability to work independently, follow standardized workflows, and manage shifting priorities
- Clear written and verbal communication skills
- Ability to lift, carry, and handle materials in a warehouse environment
Preferred:
- Experience with ERP systems (ESC or similar)
- Prior responsibility for inventory control, procurement support, or vendor coordination
- Experience tracking purchase orders, receipts, and discrepancies
- Proficiency with spreadsheets or inventory reporting tools
