Responsibilities

We are looking for an Executive Recruiting Coordinator to focus on improving and scaling the candidate experience in partnership with our executive recruiting team. You will be responsible for creating a "white glove" candidate experience for all candidates and stakeholders. This includes:

  • Interview scheduling
  • Improving executive recruiting interview scheduling processes
  • Actively contributing to the success of the executive recruiting team

This role reports to the Director of Executive Recruiting.

Key Responsibilities

  • Support the interview scheduling logistics for assigned requisitions, ensuring efficient and effective service delivery and providing a world-class candidate experience.
  • Coordinate all elements of candidate interview logistics, including sending meeting invites, booking rooms, and organizing video conferencing (Teams and dial-in details).
  • Develop and provide a professional interview agenda to all parties involved.
  • Maintain a clear hiring workflow by updating candidate statuses in the applicant tracking system.
  • Ensure an open line of communication with the Executive Recruiter assigned to each candidate.
  • Build and maintain strong relationships with the Executive Recruiter and hiring teams.
  • Field questions and scheduling requests while maintaining communication with the Executive Recruiter.
  • Provide administrative support to the talent acquisition team, including process improvement projects and other ad-hoc duties.
  • Perform other duties as assigned or requested.

Requirements:

  • 3 years of experience as a Recruiting Coordinator.
  • A history of optimizing recruiting and interview scheduling processes.
  • Experience with applicant tracking systems and interview scheduling tools preferred (e.g., Workday ATS).
  • Autonomous and highly organized with exceptional attention to detail and extremely professional written and verbal communication skills.
  • Ability to rigorously prioritize, multitask, and demonstrate eagerness to contribute to all parts of the recruiting process.
  • Independent, organized, and creative with a keen sense for "five-star service" and a high-touch experience.
  • Calm under pressure with a positive, "can do" attitude.
