About The Role
The Customer Service Operations Associate ("CSOA") – Confirmations is a key member of our Account Services Department within the Business Licensing ("BL") Team at CT. In this vital role, you’ll be responsible for closely monitoring and following up on license applications, renewals, amendments, registrations, and closure filings to obtain timely confirmations of approval, issuance, or completion. Acting as a liaison with government agencies, you will secure essential licensing documents and provide timely updates to internal stakeholders.

About The Role

Acting as a liaison with government agencies, you will secure essential licensing documents and provide timely updates to internal stakeholders.
Key Responsibilities
- Follow up with licensing authorities on application, renewal, amendment, registration, and closure filing statuses.
- Obtain and organize issued licenses, permits, certificates, and other official documents.
- Manage a substantial volume of confirmation requests across a range of clients and industries.
- Research and confirm licensing statuses via agency websites, online databases, calls, emails, and written correspondence.
- Partner closely with internal teams such as Customer Success Associates, Filing Specialists, and others to resolve issues quickly.
- Maintain detailed records of agency interactions and document statuses in internal systems.
- Identify delays, deficiencies, or obstacles, escalating concerns as appropriate.
- Communicate updates to onboarding and research teams when agency procedures or requirements change.
- Review issued licenses and documents for accuracy, coordinate corrections as needed.
- Participate actively in a collaborative, fast-paced team environment.
- Manage multiple projects and priorities simultaneously.
- Provide coverage for team members during PTO.
- Assist with additional duties including account audits, operational support during high-volume mailing periods, and on special licensing compliance or process improvement projects.
- Education: Bachelor’s degree (or equivalent experience).
- Experience: 1–2 years in customer service, licensing, administrative, data entry, regulatory compliance, or a related area preferred.
- Skills & Abilities:
- Excellent interpersonal and communication skills for professional interaction with agency reps, clients, and colleagues.
- Strong research and investigative acumen for tracking licensing information.
- Tact and discretion when handling sensitive and confidential data.
- Comfort working in a fast-paced, high-volume environment.
- Proficiency with Windows-based computers, MS Office Suite, Adobe PDF, and database applications.
- High attention to detail; accuracy and consistency are musts.
- Superior organizational abilities for managing deadlines and multi-tasking.
- Solid time management and a proactive approach to issue resolution.
- Steadfast customer focus, persistence, and professionalism.
