Responsibilities
- Manage front desk operations, including greeting visitors, answering multi-line phone systems, and directing calls with professional phone etiquette
- Oversee office supplies inventory, place orders, and maintain organized filing systems for easy access to documents
- Utilize Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools for data entry, document creation, and communication tasks
- Handle scheduling and calendar management for team meetings, appointments, and client engagements
- Perform bookkeeping duties using QuickBooks or similar accounting software to track expenses and process invoices
- Assist with client communication by providing excellent customer support via phone, email, or in person
- Support office management tasks such as proofreading documents, maintaining spreadsheets, and ensuring overall productivity
Experience
- Proven clerical experience in an office setting with strong organizational skills
- Familiarity with office management software including Microsoft Office (Word, Excel), Google Workspace, and QuickBooks
- Excellent computer literacy with proficiency in data entry, word processing, and spreadsheet management
- Prior experience working in customer service or front desk roles with strong phone communication skills and professional phone etiquette
- Bilingual abilities are highly desirable to support diverse client needs
- Experience as a medical or dental receptionist or personal assistant is a plus but not required
- Demonstrated ability to multitask efficiently while maintaining accuracy and attention to detail
