Agent Services Coordinator

Keller Williams Northern Michigan
Traverse, MI Part Time
POSTED ON 8/21/2026
AVAILABLE BEFORE 12/19/2026

Role Overview

Keller Williams Northern Michigan is built on world-class training, the most powerful real estate technology, and a culture of leaders leading leaders. The Agent Services Coordinator (ASC) sits at the center of that promise. This is not a back-office administrative role — it is one of the most visible, forward-facing, high-leverage positions in the Market Center. The ASC is the GLUE of the office: the agent-facing point person who works in tandem with the Team Leader on the agent growth pipeline and serves as an extension of the Productivity Coaching department. The mission is simple — help every associate achieve their life by design by becoming more confident and more deeply rooted in the Market Center, from first contact through every stage of growth.

Who We Are Looking For

A relationship-driven educator with the mind of an operator — warm, outgoing, and energized by helping others win, yet equally comfortable building a checklist, troubleshooting a CRM import, or teaching a room. This person loves technology and loves teaching it: they learn complex systems deeply, then translate them into plain language agents can act on today. They move with urgency, take ownership without being asked, and are organized enough to handle compliance flawlessly while being the first name an agent thinks of when they need help. Experience in real estate, brokerage operations, training, or CRM onboarding/adoption is a strong advantage; a current or prior real estate license is a plus.

Core ResponsibilitiesAgent Onboarding, Orientation & Transition

  • Own a world-class onboarding experience for new and experienced agents — weekly group orientations plus tailored one-on-ones — and maintain KWNM’s Breakthrough 120 path that gets associates into production quickly.
  • Assist in running the intake and offboarding checklists for every incoming and exiting agent; keep agent records and agent count accurate and current, and manage professional, relationship-preserving transitions.

KW Technology Stack — Adoption, Migration & Optimization

  • Serve as the in-house authority on KW Command (CRM): setup, contact import/migration, database hygiene, SmartPlans, Opportunities/pipeline, campaigns, and reporting — getting agents genuinely operational, not just "set up."
  • Co-own Lonewolf Transact and be the go-to resource for the full KW tech ecosystem, translating each rollout into practical, adopt-it-today guidance and resolving agent tech issues.

Teaching, Training & Agent Education

  • Deliver a dependable cadence of training — group classes, lab/office hours, and one-on-ones — on Command, transaction management, and core systems, adapting to brand-new licensees and seasoned producers alike.

Agent Attraction, Licensing & New-Licensee Pipeline

  • Assist the Team Leader in attracting new and aspiring licensees and delivering a welcoming, organized first experience.
  • Guide prospective and new agents through licensing, license transfer, and association/MLS setup with Compliance, and nurture a pipeline from "interested" to "in production."

Competencies & Qualifications

  • People & teaching: Extraordinary people skills and a clear, confident communicator who can teach one-on-one and to a room.
  • Technology: Strong technology aptitude with hands-on CRM experience (Command or comparable strongly preferred), including data migration; familiarity with MLS, Lonewolf Transact, and MS Word/Excel.
  • Operating: Exceptional organization, planning, and accountability; meticulous with communication and follow up..
  • Ownership: Self-starter who works with urgency and little supervision; proactive, positive, solutions-first.
  • Preferred: Preferred — real estate, brokerage operations, transaction coordination, or training/onboarding experience; direct Command and/or Lonewolf Transact experience.

Measures of Success

  • All associate inquiries handled within 24 hours.
  • Every new agent fully set up in Command with a migrated database; 100% processed through intake/offboarding checklists.
