The Finance, Benefits, and Payroll Coordinator supports the financial, payroll, and human resources operations of Keep Tahoe Blue by performing accurate, timely administrative and data entry functions under the direction of the Finance Director. This role focuses on data entry for bills and routine accounting support, running payroll, assisting with employee onboarding/offboarding, and helping ensure benefits are administered accurately. The coordinator also assists the Finance Director with all aspects of the annual audit by organizing documentation, tracking requests, and supporting audit readiness activities. The position requires high attention to detail, discretion, dependability, and the ability to work smoothly in a fast-paced environment.


Essential Functions/Principal Responsibilities

Finance (Accounts Payable & Data Entry)

  • Enter bills and invoices accurately and timely; maintain organized backup documentation and approvals.
  • Assist with coding expenses consistently for departmental reporting, following direction from the Finance Director.
  • Support credit card receipt collection and reconciliation preparation (gathering documentation, matching receipts, and flagging discrepancies).
  • Maintain organized files and records to support monthly close and audit needs.
  • Record and process income bi-weekly, including preparing and making deposits.
  • Assist with the monthly credit card reconciliation process, ensure proper documentation/authorization, and maintain organized documentation of all receipts
  • Support revenue batch entry and backup documentation with the Philanthropy team.
  • Assist in classifying expenditures accurately for departmental reporting.
  • Maintain organized files for monthly close and audits.

Payroll

  • Run payroll accurately and on time using payroll software, following established processes and approvals.
  • Prepare payroll reports and supporting documentation for review/approval; resolve routine items and escalate issues as needed.
  • Maintain secure and confidential employee payroll files and documentation.

Benefits, Onboarding & Offboarding

  • Assist with onboarding and offboarding processes, including collecting required forms, setting up employee records, and coordinating benefits enrollment/changes.
  • Help ensure benefits are administered accurately by maintaining up-to-date records in benefits platforms and coordinating with brokers/benefits providers as directed.
  • Support staff with routine benefits and payroll questions; escalate complex or sensitive issues to the Finance Director.

Annual Audit Support

  • Assist the Finance Director with all aspects of the annual audit, including assembling requested documents, maintaining an audit request list, and helping ensure timely follow-up.
  • Support audit readiness year-round by maintaining organized financial files and ensuring documentation is complete.

The FC will also:

  • Provide seamless and timely customer service to staff, donors, board members, and other community members.

Required knowledge, skills and abilities:

  • Associate or bachelor's degree preferred (accounting or related field preferred); appropriate accounting experience or certificate considered in lieu of a degree
  • 1 years of experience in an accounting, payroll, finance, or administrative support role (nonprofit experience a plus).
  • Meticulous attention to detail and accuracy with strong organizational skills.
  • Ability to work smoothly in a fast-paced environment, strategic prioritization skills, and ability to meet deadlines.
  • Proficiency with Microsoft 365 (including spreadsheets) and ability to learn new systems quickly.
  • Ability to manage confidential information with discretion.
  • Strong communication and customer service skills, both written and oral.


Preferred knowledge, skills and abilities:

  • Experience with QuickBooks Online, Bill, Gusto or similar cloud-based finance tech
  • Working knowledge of benefits systems and basic HR compliance.
  • An interest and passion for environmental conservation and Keep Tahoe Blue’s mission to protect, restore, and advocate for the ecosystem health and scenic beauty of the Lake Tahoe Basin.


Keep Tahoe Blue Specific Requirements:

  • Employees are occasionally required to get around the basin for meetings. Employees should have means to get around sufficiently.
  • Must be able to sit or stand at a desk and use a computer for significant periods of time.
  • Position requires some physical activity such as bending, stooping, lifting and carrying. Must be able to lift 25 pounds.
  • Attend Keep Tahoe Blue cornerstone events as requested, such as the Annual Benefit, July 5th Cleanup, or Tahoe Forest Stewardship Day.

$27 - $29/hr DOE
