What are the responsibilities and job description for the Broadcast Services Production Coordinator position at Keeneland Association Inc?
This position is responsible for coordinating multiple activities related to the operation of Keeneland Broadcast Services Department. Duties include coordinating video production activities, seasonal staffing, scheduling, accounting, procurement, and vendor relations. The work schedule includes weekends and holidays, as necessary, and performing the following duties.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned, as needed.
Coordinate multiple production activities and allocate staff and equipment resources. Coordinate with Broadcast Services staff outlining project needs, schedules, and project tracking. Coordinate various elements and permissions required for projects and productions, and network commercial clearance and delivery. Create estimates, maintain project files, and process end of project invoicing. Assist, as necessary, with preparation of production budget.
Coordinate, process and submit new-hire part-time/seasonal employee paperwork to payroll department. Monitor reported time, record payroll exceptions, approve and submit payroll. Schedule resources and personnel related to broadcast, video, film and multimedia events, at Keeneland and with outside facilities.
Work with external contacts to secure equipment, satellite services, video supplies and video equipment. Request quotes from vendors, and coordinate contracts, down payments and insurance certificates. Update and distribute video production schedules and task-lists to appropriate Keeneland departments. Create and distribute event details to network production teams, when applicable. Assist with creation and distribute rundowns for race meet simulcast productions and replay shows, and sales productions. Process race meet credentials and parking for Keeneland and network production crews, as well as broadcast associated vendors and outside camera crews.
Coordinate and monitor department purchases and equipment service and repairs. Obtain estimates, order equipment and supplies, process purchase orders and vendor invoices.
Coordinate film, video and audio archives housed at Keeneland and offsite. Assist with cataloguing, storage and retrieval of media assets. Research archival libraries for various internal and external projects.
Assist with administrative duties, as necessary.

EDUCATION and/or EXPERIENCE
A four-year degree from a college or university plus a minimum of five years of related experience is required.
LANGUAGE SKILLS
Good verbal and written skills are necessary for this position as well as the ability to write promotional materials and correspondence/press releases.
COMPUTER SKILLS
Proficient in use of Microsoft Office and other computer skills to execute the duties listed above is necessary.
CERTIFICATES, LICENSES, REGISTRATIONS
A Track License is required and renewable on a yearly basis.
