In this role, you'll create exceptional experiences for clients and employees alike-whether you're greeting visitors, coordinating events, keeping the office running smoothly, or supporting our team behind the scenes.
Responsibilities
Set the Standard for First Impressions
- Warmly greet and welcome clients and visitors, ensuring every interaction reflects our commitment to excellence.
- Serve as the go-to resource for office communications, keeping employees informed about client visits, leadership events, birthdays, work anniversaries, and more through a weekly staff email.
- Coordinate catered client meetings, including managing catering orders, preparing meal setup, and executing all food service details to ensure a polished and professional dining experience.
- Plan and coordinate office events including holiday parties, team gatherings, and other special occasions.
- Maintain a clean, organized, and welcoming office environment with well-stocked supplies and properly prepared meeting rooms.
- Manage office inventory, fulfill supply orders, and complete employee maintenance requests in a timely manner.
- Coordinate with building management on HVAC, reservations, facility issues, and special events.
- Oversee parking and garage operations, including ticket validation, invoicing, and prepaid ticket orders.
- Provide broad administrative support including answering phones, facilitating communications, and assisting with marketing events and project mailings.
- Manage office and docking station reservations for our Tysons location.
- Oversee building access card requests and communications through our Datawatch system.
- Partner with our IT team on laptop maintenance and system updates as needed.
- Track and record gift giving in our compliance system in accordance with SEC regulations.
- A bachelor's degree is preferred.
- 5 years of experience in an administrative, office management, or client experience role.
- A genuine passion for delivering outstanding service and creating positive experiences.
- Exceptional organizational skills and keen attention to detail.
- Strong written and verbal communication skills.
- Proficiency in Microsoft Office Suite.
- Full-time, on-site position based in our Tysons Corner, VA office.
