Position Summary
The Director of Operations is responsible for managing the resources, facilities, vehicles, large equipment (Athletic, etc.) and personnel operations of Ke Ola Mamo.
The Director of Operations shall:
1. Support the Kalaimoku (Executive Director) in carrying out their responsibilities and provide information and recommendations to the Board of Directors as appropriate.
2. Promote an organizational culture of excellence, carrying out these responsibilities with high levels of integrity, fairness, respect, kindness, and competence serving as an exemplary leader who can garner high levels of support from others.
3. Serve as safety officer for the organization.
Essential Duties and Responsibilities
1. Operations Management
a. Oversees the day-to-day operations of resources (i.e., facilities, vehicles, maintenance, equpiment, and operational conditions) of Ke Ola Mamo to ensure that all services and program activities are conducted effectively and efficiently in accordance with the mission, vision, values, Board approved policies, Strategic Plan, and other operational policies.
b. Ensures that Ke Ola Mamo operations are in compliance with all applicable laws, regulations, standards, and program expectations.
c. Ensures an effective system of ongoing performance improvement to augment patient safety, enhance quality of care, boost patient and staff engagement and satisfaction, and minimize errors and risks.
d. Ensures that patient, staff, and other interactions are carried out in a safe, thoughtful, and courteous manner protecting patient privacy and confidentiality always.
e. Identifies and addresses unforeseen operating problems and issues effectively and efficiently.
f. Negotiates contracts and agreements pertaining to goods and services and ensures that they are carried out in compliance with all terms and conditions.
g. Development and upkeep of KOM policies and procedures.
2. Financial Management
a. Ensures that all financial expenses are conducted according to generally -accepted accounting principles with sound internal controls.
b. Ensures implementation of the financial policies approved by the Board.
c. Along with the CFO presents a timely, complete, and feasible annual budget to the Kalaimoku for review and approval.
d. Must plan and forecast for annual budget to maintain equipment, supplies, and management resources. Be alert to aging, wear or damage of all equipment, research and estimate repair or replacement cost for Kalaimoku.
e. Ensures accurate and timely monthly financial reports to the Kalaimoku with explanations of all significant variances of actual performance to budget.
3. Facilities Management
a. Effectively represents the Kalaimoku and oversees all lease negotiations and operates in accordance with the terms and conditions of the agreement.
b. Assures that the facilities and equipment of Ke Ola Mamo are operated and maintained in an appropriate safe and secure manner to protect their long-term condition and value.
4. Fund Development
a. Develops forward-thinking plans to diversify revenue streams by continuously seeking appropriate funding opportunities for operations.
b. Submits draft grants and budget approval for Kalaimoku approval in a timely manner.
c. Collaborates with the Kalaimoku in fund development strategies.
5. Community Relations & Professional Relationships
a. Is active and visible within the community, participating in various groups and attending key community events.
b. Assists Ke Ola Mamo as directed by the Kalaimoku.
6. Planning & Program Development
a. Presents a set of measurable goals and operating objectives for the facilities, equipment, and resources of Ke Ola Mamo to the Kalaimoku for approval.
b. Implements approved Strategic Plan utilizing appropriate management tools and strengths of program staff.
Working Conditions
Indoor, office setting and outdoors, under a variety of conditions in the community.
Working Hours
Average forty (40) hours per week. Some evening and weekend work may be required, dependent on requirement of position duties and responsibilities.
Equipment Use
Computer, copier, telephone, fax machine, and other standard office equipment. Vehicles, KOM mobile unit, and other equipment to maintain KOM resources. May require relationships with contractors who maintain and service vehicles, licensing, and facilities.
Mental Demands
Duties require the ability to work under pressure and deadlines; dealing courteously and tactfully with clients, service providers, coworkers, and the Native Hawaiian Community; follow instructions in KOM policies and procedures. Detailed, thorough, and ability to work independently; ability to deal with situations involving complex issues; establish and maintain cooperative and productive work relations; use of initiative, sound judgment, problem solving and following or interpreting established policies and procedures; comply with KOM Code of Ethics.
Communication Demands
Requires strong verbal, written and interpersonal communication skills, which entails preparation of oral and written reports, memos, and other communications in a clear, concise and professional manner; ability to meet people with ease; ability to articulate Ke Ola Mamo’s goals, objective, activities, accomplishments and projections to community groups, health and human service providers, county, state and federal representatives, etc.; communicate the written and spoken work with tact, diplomacy, and/or authority when necessary. Demonstrate ability to compose professional reports, letters, and memos.

Education and Experience Preferred
1. Minimum of a bachelor’s degree in facilities, equipment, or related field of study with a demonstrated record of continuing education and training *Or years of experience performing similar duties within Native Hawaiian Health, Health Administratin, non-profit leadership, or Hawaiian studies.* Preferred degree in health administration, non-profit leadership, Hawaiian studies, or in Hawaiian language competence
2. Minimum of five (5) years of progressive management experiences, preferably in Native Hawaiian Health Care Systems/or the health care and/or social services and/or non-profit sector.
3. Demonstrated competency in program development, business and financial management, human resources, grant writing and/or fund development, community and public relations, and public speaking.
4. Good knowledge of health care delivery and issues in the business environment and health industry with particular focus on community health care.
Because of expected duration of position, the Kalaimoku may follow these guidelines and waiver requirement as desired skills.
Other Requirements
1. Have a valid driver’s license and use of a personal vehicle for work with proof of adequate automobile insurance coverage. May use company vehicle for business of the organization.
2. Driver’s abstract without any moving violations within the past three (3) years
3. Valid COVID Vaccination Card at the time of application.
4. Valid tuberculosis clearance within one (1) year.
