KCA Neurology is seeking an Assistant Clinical Supervisor to help oversee daily clinical support operations across our outpatient neurology practice. This role is ideal for an experienced Medical Assistant or clinical team lead who is organized, calm under pressure, comfortable holding staff accountable, and able to keep clinical workflows moving efficiently.
The Assistant Clinical Supervisor will help manage Medical Assistant workflow, eCW jellybeans/tasks, two-stage chart prep oversight, task routing, provider support needs, patient communication escalation, and daily coverage issues. This person must be able to identify bottlenecks, redirect staff appropriately, follow through on open tasks, and make sure work is completed by the correct team member.
Responsibilities
- Monitor and manage eCW jellybeans/tasks throughout the day
- Assign, route, and follow up on clinical tasks to the appropriate staff member, provider, or clinic location
- Review unassigned, overdue, urgent, and misrouted tasks
- Oversee the chart prep workflow beginning two weeks before the appointment and repeated the day prior to the visit
- Ensure missing orders, results, referrals, imaging, labs, forms, and visit-specific needs are identified, routed, and followed up before patient visits
- Escalate urgent clinical concerns to the appropriate provider or supervisor
- Support Medical Assistants with daily workflow, rooming standards, task completion, and provider needs
- Help coordinate coverage for call-outs, PTO, lunches, and high-volume clinic days
- Assist with training, coaching, and onboarding Medical Assistants
- Monitor task backlogs related to calls, refills, orders, results, referrals, forms, chart prep, and patient messages
- Work with remote and onsite staff to ensure patient requests are routed and completed appropriately
- Help protect rooming MAs from being pulled into tasks that should be handled by other roles
- Communicate clearly with providers, MAs, front desk, and management regarding workflow concerns
- Assist with patient escalations, complaints, and urgent communication issues as needed
- Reinforce clinic policies, workflows, and accountability standards
Requirements
- Medical Assistant experience required
- Neurology or specialty practice experience preferred
- Prior lead, supervisor, or team coordinator experience preferred
- Strong eCW experience preferred
- Comfortable managing high-volume task queues, chart prep workflows, and patient communication workflows
- Able to prioritize urgent vs. routine issues
- Strong communication and follow-through skills
- Able to redirect staff and hold team members accountable professionally
- Comfortable working in a fast-paced, multi-location medical practice
- Must be organized, dependable, detail-oriented, and calm under pressure
