SUMMARY: This position is in the Office of the Justice of the Peace. The Court Clerk provides legal, clerical and administrative support to the court. The Clerk prepares and submits a wide variety of legal filings, documents, and reports. This position requires a high level of trust, accountability and the ability to maintain confidential information. ESSENTIAL DUTIES AND RESPONSIBILITIES: · Maintain central docket records for all cases filed, and an index of all court judgments for cases arising in the justice court;· Prepare civil citations, failure to appear and criminal warrants, and forward them to the Constable or requesting officer for service; File and stamp all civil documents filed by any party to a lawsuit; note files electronically and manually;· Schedule hearing and trial dates; notify all parties;· Prepare witness subpoenas, dockets for hearings and trials, and courtesy and arrest warning notices;· Receive payments and issue receipts for fines and filing fees; provide payment application to defendants requesting pay-out of fines with instructions pertaining to the Collections Department and payments. OTHER NON ESSENTIAL DUTIES AND RESPONSIBILITIES: · Review and monitor cases to be sent to collection agency;· Prepare closed cases for storage;· Communicate and interact with all county offices and officials, and all law enforcement agencies;· Attend workshops and seminars on legislative updates and general training – some overnight stays required;· Performs all other related duties as assigned;· Regular attendance is required. Education and Experience: · Must have a high school diploma (or GED certificate)· Some college is preferred, but not required Knowledge, Skills and Abilities: · Ability to work with Microsoft Office applications such as Outlook, Word and Excel.· Must have the ability to learn computerized purchasing system.· Knowledge of Odyssey program.· Working knowledge of business machines and e-filing.· Excellent knowledge of business practices and English grammar.· Ability to communicate clearly both orally and in writing and to maintain confidentiality.· Ability to file alphabetically and numerically.· Must have excellent organizational and customer service skills.· Must be able to work with co-workers, employees and management in a pleasant, professional manner.· Must be able to work under pressure in a high volume office, produce accurate work and meet established deadlines.· Must be mature, dependable, resourceful and able to work independently.· Bilingual PHYSICAL DEMANDS: Position involves sitting at a desk or other workstation, typing, filing, making copies, standing, and communicating to other county personnel, elected officials, external agencies, and the general public.
