Role Description
We are seeking a highly organized and motivated Office Manager to help keep our customer buying process and operations running smoothly. This is a full-time, in-person role at our office in Lyndhurst, Ohio. The ideal candidate is sociable, takes initiative, thrives in a fast-paced environment, and is eager to contribute to a dynamic, customer-focused team.
Qualifications
- Coordinate day-to-day administrative, operational, and sales support activities to ensure efficiency
- Maintain and update logs, records, filing systems and documentation including inventory, checks, deposits,deals, and correspondence
- Serve as primary point of contact for customer inquiries, ensuring a welcoming, professional, and empowering experience
- Assist with the end-to-end customer buying experience and documentation process
- Maintain direct communication with customers, dealers and other external parties via phone, email and in-person
- Coordinate schedules for porters and internal team members
- Perform accurate data entry in CRMs, DMS/ Inventory Management Platforms, and Microsoft Office (Excel)
- Support invoicing, billing, client information tracking, sales activity and payment tracking processes
- Conduct any additional sales initiatives and projects as needed
Required:
- Minimum of 1.5 years of office, administrative, or operations experience
- Exceptional organization with strong attention to detail
- Proficiency in Microsoft Office and Google Suites
- Experience with CRM platforms (Hubspot preferred)
- Strong written and verbal communication skills; professional and personable in all interactions
- Ability to manage multiple projects at once and adapt to a fast-paced environment
- Comfortable with data entry and maintaining online digital records
Preferred:
- Associates or Bachelor’s in Business Administration, Communications or related field
- Experience in administrative role
- Basic bookkeeping or accounts receivable experience
- Familiarity with small businesses or entrepreneurial environments
