Accounting & Legal Billing Clerk


Kastner Westman & Wilkins, LLC is a boutique law firm in Fairlawn, OH; with an additional office coming soon to Cleveland, OH. K|W|W’s practice is limited to the representation of employers in all aspects of labor and employment law.


K|W|W is seeking an Accounting & Legal Billing Clerk in our Fairlawn, OH office. This is a full-time position, Monday through Friday, with the possibility of working one day from home after the introductory period.


K|W|W often handles complex litigation, insurance, and ongoing advisory work for HR departments, corporate law departments, and executives. The accounting and billing process must be precise, compliant with all guidelines, and delivered with a professional touch.


Success in this role requires accuracy with numbers, excellent oral and written communication skills, managing time and multiple priorities, and a keen eye for detail.  The position involves regular interaction with K|W|W’s attorneys and staff, clients, and other third parties. The ability to communicate effectively with internal and external clients, to exercise sound judgment, and to maintain a high level of confidentiality and customer service are also required.


The qualified candidate will be well organized, flexible, have good interpersonal skills and enjoy the opportunities of supporting the attorneys while working collaboratively within an administrative team environment.


Key Responsibilities:

- Billing Cycle: Generate, distribute, and track monthly "pre-bills" (proformas) for attorney review. Execute all edits and write-offs with accuracy.

- E-Billing: Submit invoices through various third-party vendors and client billing portals.  monitor status of electronic invoices and submit appeals.

- A/R & Collections: Monitor Accounts Receivable aging reports. Subtly and professionally follow up with clients or third-party vendors on overdue invoices. Processing of daily bank deposits.

- A/P: Review invoices, resolve invoice discrepancies, and enter invoices into Quickbooks. Work with vendors to ensure that all payables are recorded and paid. Process employee expense reports for payment and billing. Process weekly check run along with other requested check payments.

- Reporting: Provide management with various ad-hoc reports.

- Update and maintain client contact information and matter records, including rates, billing guidelines, and special requirements.


Qualifications:

- High School Diploma or equivalent; college coursework in accounting, finance, or legal billing strongly preferred

- Minimum of two years of recent legal billing experience

- Proficiency in Microsoft Excel, Word, Outlook, and electronic billing to include LEDES formatting; hands on billing experience with Clio is preferred

- Strong basic math skills - addition, subtraction, multiplication, division, percentages, fractions

- High attention to detail, analytical thinking, problem-solving and organizational skills

- Demonstrated ability to communicate clearly and effectively

- Top-notch accuracy, spelling, grammar, and proofreading skills


Physical Requirements:

- Indoor office setting with minimal exposure to hazards

- Primarily sitting with occasional standing, walking, bending, and stooping

- Extensive use of hands/fingers for typing, operating calculators, and handling paperwork

- Close vision to read monitors and documents, along with hearing and/speaking for phone and in-person communication.

- Operating standard office equipment

- Occasional lifting or moving files or supplies weighing up to 25 lbs
