The Opportunity

The Client Service Associate is a cornerstone of our client experience and advisory support team. You’ll work closely with our advisors to ensure seamless operations, exceptional client service, and efficient administrative processes that keep the firm running smoothly.

Key Responsibilities

Client Experience & Relationship Management:

  • Serve as a friendly, reliable point of contact for clients, handling inquiries, requests, and service needs with professionalism and care.
  • Coordinate and prepare materials for client meetings, including reports, summaries, and follow-ups.
  • Maintain accurate and complete client records in the firm’s CRM and portfolio management systems.
  • Partner with advisors to ensure every client interaction reflects our firm’s commitment to excellence.

Account Administration & Operations

  • Manage new account openings, transfers, and maintenance through custodians (e.g., Charles Schwab, TIAA).
  • Process deposits, withdrawals, required minimum distributions (RMDs), and beneficiary changes promptly and accurately.
  • Support billing, performance reporting, and operational workflows with precision and consistency.
  • Identify process improvements that enhance accuracy, efficiency, and client experience.

Advisor & Team Support

  • Coordinate advisor schedules, client meetings, and onboarding for new clients.
  • Assist with the implementation of financial plans and follow up on action items.
  • Collaborate with advisors and operations staff to strengthen internal systems and workflows.

What You Bring

Required Qualifications:

  • Bachelor’s degree.
  • 2–5 years of experience in financial services, ideally with an RIA or wealth management firm.
  • Knowledge of investment account operations, custodial processes, and regulatory standards.
  • Exceptional attention to detail and organizational skills.
  • Strong proficiency in Microsoft Office Suite and CRM systems (e.g., Redtail, Salesforce).
  • Ability to manage multiple priorities and meet deadlines in a fast-paced environment.

Preferred Qualifications

  • Experience working with custodians such as Charles Schwab or TIAA.
  • Familiarity with portfolio management or financial planning software.
  • Working knowledge of RIA compliance and operational procedures.
  • Excellent communication and interpersonal skills.
