Job Summary
We are seeking a professional and organized Front Desk Receptionist to join our team. The ideal candidate will serve as the first point of contact for visitors and callers, managing office operations with efficiency and a friendly demeanor. This role requires excellent communication skills, strong organizational abilities, and proficiency in office management tools. The Front Desk Receptionist will play a vital role in ensuring smooth daily operations, providing exceptional customer service, and supporting administrative functions across the organization.

Responsibilities

  • Greet visitors and clients warmly, ensuring a positive first impression
  • Manage multi-line phone systems, screen calls, and direct inquiries appropriately
  • Schedule appointments and manage calendar entries using tools like Google Workspace and Microsoft Office
  • Handle data entry, filing, and document proofreading to maintain accurate records
  • Assist with office management tasks such as supply ordering and maintaining a tidy reception area
  • Support customer service efforts by addressing inquiries promptly and professionally
  • Perform clerical duties including typing, photocopying, and managing correspondence
  • Utilize QuickBooks for basic bookkeeping tasks when necessary
  • Coordinate with other departments to facilitate smooth office operations
  • Maintain professionalism with phone etiquette and courteous communication at all times

Qualifications

  • Proven office management or administrative experience, preferably in medical or dental settings
  • Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and data entry skills
  • Experience with multi-line phone systems and excellent phone etiquette skills
  • Bilingual abilities are a plus to effectively serve diverse clients
  • Familiarity with QuickBooks, bookkeeping, or calendar management tools is desirable
  • Exceptional organizational skills with keen attention to detail and proofreading abilities
  • Ability to handle multiple tasks efficiently while demonstrating time management skills
  • Previous experience in customer support or as a personal assistant is advantageous
  • Strong interpersonal skills with a professional demeanor and positive attitude

Job Type: Full-time

Pay: $16.00 - $18.00 per hour

Expected hours: 40 per week
