Responsibilities
- Greet visitors and clients warmly, ensuring a positive first impression
- Manage multi-line phone systems, screen calls, and direct inquiries appropriately
- Schedule appointments and manage calendar entries using tools like Google Workspace and Microsoft Office
- Handle data entry, filing, and document proofreading to maintain accurate records
- Assist with office management tasks such as supply ordering and maintaining a tidy reception area
- Support customer service efforts by addressing inquiries promptly and professionally
- Perform clerical duties including typing, photocopying, and managing correspondence
- Utilize QuickBooks for basic bookkeeping tasks when necessary
- Coordinate with other departments to facilitate smooth office operations
- Maintain professionalism with phone etiquette and courteous communication at all times
Qualifications
- Proven office management or administrative experience, preferably in medical or dental settings
- Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and data entry skills
- Experience with multi-line phone systems and excellent phone etiquette skills
- Bilingual abilities are a plus to effectively serve diverse clients
- Familiarity with QuickBooks, bookkeeping, or calendar management tools is desirable
- Exceptional organizational skills with keen attention to detail and proofreading abilities
- Ability to handle multiple tasks efficiently while demonstrating time management skills
- Previous experience in customer support or as a personal assistant is advantageous
