For more than thirty years, Haywood County has worked to combat adverse childhood experiences and strengthen its community response to child abuse and neglect. Formally established as a nonprofit organization in 1991, KARE grew from a volunteer-based school safety program and the efforts of community leaders who recognized the need for coordinated, trauma-informed services for children and families. Today, KARE is a nationally accredited Child Advocacy Center. Our multidisciplinary team works collaboratively to provide evidence-based, trauma-informed services that improve outcomes for children and families impacted by abuse, neglect, and exploitation.

Position Summary

Strong financial and operational systems are essential to ensuring that KARE can effectively fulfill its mission and provide high-quality services to children and families in Haywood County.

The Finance & Operations Administrator plays a critical role in supporting the financial integrity, accountability, and day-to-day operations of KARE. This position is responsible for internal bookkeeping and QuickBooks Online administration, accounts payable and receivable support, and assistance with grant administration and reporting.


In addition to financial responsibilities, this position oversees key operational functions including facilities maintenance, office supply management, and general office administration.

This position is ideal for an organized, detail-oriented professional who enjoys variety, takes initiative, works independently, and is committed to supporting a mission-driven organization through strong financial, administrative, and operational practices.


Position Details

  • Non-exempt, part-time position
  • Up to 20 hours per week
  • Hourly compensation based on education, experience, and qualifications
  • Schedule may be flexible based on agency needs
  • Reports directly to the Chief Executive Officer

Personnel must:

  • Possess reliable transportation
  • Pass a criminal background check
  • Demonstrate legal authorization to work in the United States


Financial Administration

  • Perform day-to-day internal bookkeeping and accounting functions
  • Maintain and administer the agency’s QuickBooks Online account
  • Obtain and organize receipts, invoices, and other financial documentation
  • Input and maintain accurate financial data in QuickBooks Online
  • Complete account reconciliations in coordination with the agency’s external accounting firm
  • Support the development, monitoring, and maintenance of the agency budget
  • Monitor financial activity and identify discrepancies or areas requiring follow-up
  • Conduct internal reviews of grants and budgets to support financial accuracy and efficacy
  • Prepare and provide financial information and reports to the Finance Committee as requested
  • Maintain organized and accurate financial records and supporting documentation

Grant Administration

  • Support compliance with financial, programmatic, and reporting requirements for federal, state, and private grants
  • Complete grant reporting in conjunction with the Chief Executive Officer
  • Assist with grant applications and preparation of supporting documentation
  • Maintain accurate grant-related financial records and documentation
  • Track grant timelines, reporting deadlines, and funding requirements
  • Monitor grant expenditures and supporting documentation for compliance with grant requirements

Operations & Facilities

  • Oversee facilities maintenance and office supply management
  • Coordinate ordering and purchasing of office, program, and facility supplies
  • Monitor inventory and anticipate supply and operational needs
  • Coordinate routine office and facility needs, including general office upkeep
  • Assist with coordination of technology, equipment, maintenance, and other operational needs
  • Maintain an organized, professional, welcoming, and functional office environment

Administrative Support

  • Answer and route incoming phone calls and assist with general reception and administrative needs
  • Provide general administrative support to CEO and agency staff
  • Assist with meetings, projects, scheduling, correspondence, and other administrative functions as needed
  • Maintain confidentiality of financial, personnel, client, donor, and agency information

Organizational & Team Collaboration

  • Work collaboratively with the Executive Director, Assistant Director, and agency staff
  • Communicate effectively with the agency’s external accounting firm and auditors
  • Coordinate with vendors, contractors, grantors, and community partners
  • Participate in Finance Committee meetings and other meetings as requested
  • Support agency-wide initiatives and special projects
  • Contribute to a positive, professional, collaborative, and mission-focused work environment
  • Perform other duties as requested by the Executive Director and/or Assistant Director

Required Qualifications

  • Associate degree or higher in nonprofit management, business administration, finance, accounting, or a related field OR equivalent combination of relevant education and experience
  • Prior experience with QuickBooks Online
  • Demonstrated experience with bookkeeping, accounting, financial administration, or related responsibilities
  • Strong organizational skills and attention to detail
  • Ability to maintain accurate and confidential financial and administrative records
  • Ability to work independently and manage multiple priorities
  • Strong verbal and written communication skills
  • Ability to work effectively as part of a team

Preferred Qualifications

  • At least one year of experience working in a nonprofit organization
  • Previous experience with grant administration or grant reporting
  • Experience with nonprofit accounting and financial management
  • Experience coordinating vendors, purchasing, facilities, or office operations
