The Ranch Manager partners with the Ranch Director in overseeing the day-to-day operations and long-term stewardship of an 80 acre, multi-building residential and retreat property. The role combines property operations, hospitality, retreat and event coordination, and operational systems management to ensure the estate functions smoothly for owners, guests, and affiliated organizations.

The Ranch Manager helps ensure that residences, meeting spaces, and grounds are consistently maintained to a high standard and prepared for owner stays, guest visits, and retreats held throughout the year. The role works closely with the estate’s owners, the Ranch Director, vendors, and service providers to coordinate property readiness, manage operational systems, and support events and guest experiences.

In addition to operational responsibilities, the RanchManager contributes to long-term planning related to the evolution of the property, including infrastructure improvements, robust and durable operational systems, and financial planning over a multi-year horizon.

The role requires a highly organized, hospitable and proactive individual who is comfortable working in a hands-on environment, coordinating complex logistics, and supporting a property that serves as both a private residence and a gathering space for meetings and retreats.The individual must demonstrate the ability to build respectful, effective working relationships with colleagues and guests from diverse backgrounds.

Responsibilities

  • Partner with the Ranch Director in overseeing property day-to-day operations, long-term stewardship, and strategic planning to support the property’s evolution.
  • Ensure the readiness and smooth functioning of the main residence, guest houses, meeting spaces, event barn, and other buildings across the property.
  • Maintain and support operational systems that support effective property management, including budgeting and expense management for operations, retreats, and events.
  • Conduct regular walkthroughs of facilities and grounds to ensure they are in proper working order and maintained to a high standard.
  • Perform basic repairs, troubleshooting, and hands-on maintenance tasks across the property, applying a fix-it mindset to resolve issues directly when possible before engaging outside vendors.Coordinate with service providers to support routine and preventative maintenance of infrastructure, systems, and grounds.
  • Provide operational oversight to ensure residences and facilities are consistently prepared for owner stays, guest visits (roughly 2 overnight guests per month), retreats (roughly 4-6 per year), and events.
  • Assist with operational needs including stocking homes, managing supplies, coordinating errands, and supporting overall property readiness.
  • Provide backup cleaning support and project/event cleaning when needed to ensure property readiness.
  • Provide operational coverage when the Ranch Director is on PTO and rotate evening and weekend coverage with the Ranch Director as needed.
  • Continuously identify opportunities to streamline systems, reduce costs, and improve documentation in support of long-term property managementOversee fire preparedness and defensible space maintenance in coordination with local fire safety guidelines, including seasonal readiness checks, equipment inspection, and evacuation planning.
  • Help plan and execute retreats, meetings, dinners, and other events across multiple locations on the property.
  • Serve as the on-site host for select events and retreats, ensuring a high standard of hospitality for guests, staff, and community members.
  • Oversee day-of-event logistics including venue setup and cleanup, AV coordination, catering, vendor management, registration, and guest communications.
  • Coordinate full-cycle property readiness for all guest stays and events, from preparing residences and meeting spaces in advance to conducting post-event walkthroughs, resets, and securing facilities upon departure
  • Maintain property inventories, household inventories, event templates, property maps and documentation, emergency preparedness materials and guest preparation materials.
  • Manage scheduling systems and event calendars using tools such as Google Calendar and CVENT.
  • Maintain systems for tracking household supplies and event materials to ensure residences and facilities remain properly stocked.
  • Assist with dog care when needed, including evenings, weekends, and occasional overnight care.

Qualifications & Skills

  • Experience in estate management, property operations, hospitality, event planning, or a related operational role.
  • Experience working in a professional or corporate environment with familiarity with structured project management, budgeting processes, and collaborative work systems.
  • Strong organizational and project management skills with the ability to coordinate complex logistics across multiple stakeholders, vendors, and timelines.
  • Proficiency in Google Workspace (Docs, Sheets, Calendar) and virtual or hybrid events using platforms such as Zoom.
  • Experience assisting with budgets, expense tracking, invoice processing, and monitoring spending against operating budgets.
  • Hands-on fix-it mentality with the ability to perform basic repairs, troubleshooting, and light maintenance (e.g., plumbing, electrical, carpentry, appliance issues) independently, reserving vendor calls for more complex or specialized work.
  • Ability to lift up to 25 pounds.Excellent written and verbal communication skills and strong interpersonal skills.
  • Customer-service mindset and commitment to high standards of hospitality.
  • Ability to work in a hands-on environment, manage multiple priorities, and maintain strong attention to detail.
  • Strong problem-solving skills with the ability to anticipate needs and respond effectively in a dynamic environment.
  • Ability to respond flexibly to operational needs including occasional short-notice onsite support.
  • Spanish/English bilingual ability is highly preferred.
  • Comfortable caring for dogs, including occasional overnight care.
  • Experience planning or supporting retreats, events, guest stays, or similar hospitality-focused operations.
  • Ability to work evenings and occasional weekends as required for events and retreats.
  • Experience managing calendars, scheduling systems, and event management platforms such as CVENT or similar tools.

Pay: $75,000.00 - $85,000.00 per year
