Job type: Full-time, Exempt (minimum 40 hours/week)

Salary Range: Competitive salary commensurate with experience, Range is $40,000-$44,000

KCRep’s Development Associate: Events and Executive Operations is a key member of the Development team (about 75%) and supports the Executive Director and Board (about 25%). This role is perfect for someone who enjoys event planning, donor stewardship, and administrative problem-solving — all while working alongside some of the most creative, passionate, and community-minded people in Kansas City.

Responsibilities Include (but are not limited to):


Development Events & Operations

·      Coordinate stewardship and cultivation events from start to finish — invitations, planning, execution, and follow-up — including opening night receptions, special donor gatherings, Board-hosted events, theatre tours, the annual Gala, and additional events as needed.

·      Coordinate proposals and contracts for in-kind event vendors.

·      Collaborate with the Marketing team to provide content for event materials, acknowledgments, and communications.

·      Track event-related donor engagement in Tessitura and help maintain accurate donor records.

·      Coordinate Gala and Development Committee meetings, including invitations, donor research, logistics, materials, and minutes.

·      Provide backup support for gift processing, donor acknowledgments, deposits, and other database and administrative tasks as needed.

·      Provide excellent service to donors, committee members, and guests.



Executive & Board Support

·      Manage the Executive Director’s calendar, including scheduling meetings, preparing materials, and coordinating travel arrangements.

·      Organize and coordinate Board of Directors and Executive Committee meetings, including logistics, catering, and minutes.

·      Prepare, edit, and distribute Board documents and maintain Board contact information.

·      Support communication between the Executive Director’s office and Board members on special projects and initiatives.

·      Maintain systems for the Executive Director’s office and handle confidential information with discretion.


Key Competencies Desired:

  • Bachelor’s degree or equivalent combination of education and experience.
  • Experience in nonprofit development, event planning, and/or executive administration preferred (early-career candidates with strong organizational and customer-service skills will be considered).
  • Strong written and verbal communication skills.
  • Excellent attention to detail and ability to manage multiple priorities.
  • Calm, flexible problem-solver who enjoys working in a fast-paced, collaborative environment.
  • Comfortable interacting with individuals from a wide variety of backgrounds.
  • Proficient in Microsoft Office; experience with Tessitura and Teamwork preferred but not required.
  • Willingness to work evenings and weekends (especially around performances, board meetings, and special events).
  • Ability to lift up to 25 lbs.
