Audio-Visual Sales Support Specialist

What You Will Do:
As an AV Sales Support Specialist at KCAV, you will provide administrative and operational support to Sales Consultants by managing sales data, preparing quotes and bids, processing orders, and maintaining customer records in our ERP system, Q360. This role also serves as a point of contact for clients and coordinates with internal teams to ensure accurate documentation, pricing, and timely communication.
Sales and Order Management
- Create, input, and manage all information in ERP (Q360) for opportunities, quotes, and quick lists as requested by the Sales Consultant.
- Obtain and document all necessary information to complete opportunities, quotes, and quick lists, including purchasing and client documentation.
- Process new orders in ERP (Q360), coordinating with the client, Sales Consultant, and Finance.
- Maintain pricing information for each order or quote in accordance with internal procedures.
Support and Communication
- Provide administrative support to the Sales Consultant, including follow-up and document preparation.
- Deliver customer service, assisting clients with issues and escalating to the Sales Consultant when needed.
- Update order status information throughout the sales life cycle.
- Maintain and update all assigned customer data in ERP (Q360).
Operational Assistance
- Complete product registrations for pricing as requested by the Sales Consultant.
- Prepare and process hardware-only bids, including pricing requests and gathering required information.
- Assist Finance by checking open purchase orders for status updates.
- Receive and check in deliveries, verifying quantities and inspecting shipments for accuracy and damage.
- Open and secure warehouse/loading dock access for vendors, delivery personnel, and scheduled pickups.
- Sign for incoming packages and distribute deliveries to the appropriate departments or personnel.
- Assist with light inventory management, including tracking stock levels, organizing inventory, and maintaining accurate records.
- Support warehouse organization and ensure materials are properly stored and labeled.
- Coordinate shipment and delivery information between vendors, warehouse personnel, and project teams as needed.
- Perform other duties and projects as assigned.
What We’re Looking For:
- High School Diploma or equivalent required.
- 4 years of experience in a sales support, outside sales customer service, or administrative support role involving order/quote/sales data
- Proficient in Microsoft Office Suite; prior experience with Q360 or a similar ERP preferred.
- Ability to operate standard office equipment.
- Strong verbal and written communication skills.
- Excellent organizational skills and attention to detail; able to work independently.
- Must pass a background check, including pre-employment drug screening.
