Position Overview
The Firm Operations Coordinator ensures the firm operates efficiently so that professional staff can remain focused on client work. The role spans client service, administrative support, technology and vendor management, and firm operations. The Coordinator reports to the Firm Administrator, works closely with partners and staff, and contributes to documenting and improving firm processes as the practice modernizes.
Key Responsibilities
Client Experience
- Serve as a professional point of contact for clients in person, by phone, and by email
- Coordinate tax return delivery, including assembly, e-signature routing, mail and pickup logistics, and filing confirmations
- Support document collection and follow-up to keep client work progressing
- Assist clients with the client portal, e-signatures, and payment options
Team and Workflow Support
- Provide administrative support to tax and accounting staff, including scheduling, processing, and scanning, during busy season and year-round
- Assist in tracking work in progress and identifying items that are delayed or at risk
- Support client onboarding and setup in the firm's practice management system
Firm Operations and Human Resources
- Train under the Firm Administrator across billing, human resources, and firm administration in preparation for expanded responsibility
- Assist with human resources functions, including new hire onboarding, benefits coordination, and personnel records
- Manage office logistics, supplies, and facilities matters, and resolve operational issues as they arise
Additional Responsibilities (Based on Experience)
- Light bookkeeping support in QuickBooks for select clients
- Process documentation and improvement initiatives
- Progressive assumption of firm administration duties

Pay: $50,000.00 - $70,000.00 per year
