Job Summary
The Fabrication Shop Administrator provides administrative and operational support to the Fabrication Department. This role is responsible for coordinating production schedules, purchasing activities, inventory, customer communication, and shop administration to help ensure fabrication projects move efficiently through the department.

Working closely with Fabrication leadership, Production, Purchasing, Inspection, and customers, this position helps maximize machine utilization, reduce production bottlenecks, and improve lead times while providing day-to-day administrative support. The ideal candidate is highly organized, proactive, and comfortable working in a fast-paced manufacturing environment.

Monday-Friday 7am-3:30pm, FULL TIME REQUIRED, ON-SITE ONLY

Key Responsibilities

  • Coordinate daily production schedules based on machine availability, run times, material availability, and customer due dates to maximize equipment utilization and minimize downtime.
  • Monitor workflow and communicate schedule changes, priorities, shortages, and production delays to appropriate personnel.
  • Place and track purchase orders for raw materials, tooling, equipment, and shop supplies; follow up with vendors to ensure on-time delivery.
  • Monitor inventory levels and coordinate with Purchasing to maintain material availability for production.
  • Maintain accurate work orders, production schedules, equipment maintenance records, inventory, purchasing, and department documentation.
  • Assist with creating sales orders and updating Bills of Material (BOMs) within the ERP system.
  • Coordinate the rework process and work with Inspection to support quality requirements and timely resolution of non-conforming product.
  • Communicate with customers regarding project status, quotes, and delivery schedules as directed.
  • Assist with inspection, packaging, shipping, and invoicing of fabricated parts as needed.
  • Maintain department email, phone calls, filing, and general administrative functions.
  • Support OSHA compliance by maintaining safety documentation and assisting with audits and inspections.
  • Work closely with Fabrication Supervisors and other departments to improve workflow, reduce lead times, and support continuous improvement initiatives.
  • Maintain a clean, organized, and safe work area.
  • Maintain a positive, team-oriented attitude.
  • Support other departments and assist with additional tasks as assigned.

Requirements

  • High school diploma or equivalent.
  • Previous experience in manufacturing, production coordination, purchasing, scheduling, or administrative support preferred.
  • Strong organizational, planning, and communication skills.
  • Ability to prioritize multiple projects in a fast-paced manufacturing environment.
  • Proficiency with Microsoft Office (Outlook, Excel, Word); ERP/MRP experience preferred.
  • Ability to interpret production schedules, prioritize work, and coordinate across multiple departments.
  • Knowledge of purchasing, inventory management, or production scheduling is preferred.
  • Reliable, detail-oriented, team-focused, with a positive attitude and strong work ethic.
  • Ability to work both independently and collaboratively.
  • Ability to lift 15–20 lbs. regularly and up to 50 lbs. occasionally.
  • Employees may be required to work overtime as needed, when requested by their supervisor.

Pay: $18.00 - $23.00 per hour
