Calendar: 260 Work days

Overview:

The Facilities Production Controller will generate, resource and track to completion all emergency, urgent and routine work orders across the school district. They will manage these work orders to allow all maintenance and grounds personnel to perform work including (but not limited to) HVAC, plumbing, electrical, carpentry, grounds and athletic field maintenance, irrigation, snow removal, as well as other various repairs as needed. Facilities Production Controller will be responsible for coordinating work not possible by internal staff with qualified contractors.

Job Responsibilities:

Working for the Facilities Supervisor, the employee will:

  • Maintain status of current work in progress, current shop capability, and shop backlog to determine work priorities, available support services, and overall work requirements to ensure a balanced workload is maintained.
  • Track work assignment, work start dates, work status, and work completion for both in-house work and service support work.
  • Prepare lists of equipment scheduled for preventative maintenance checks and services, safety inspections, certification inspections, and other recurring checks and services such as emissions tests and weight handling equipment load tests.
  • Collect and compile data to provide management with statistical and production reports and other products.
  • Prepare scheduled and on demand reports to provide data and information related to the execution of the overall maintenance effort to include work status, costs, productivity, efficiency, and compliance.
  • Analyze production risks to plan alternative solutions.
  • Initiate accelerated job request actions to the master scheduler in alignment with production planning.
  • Monitor availability cost and schedule data to support project planning and scheduling.
  • Conduct research of technical information prior to preparation of work packages.
  • Provide material technical resolution and troubleshooting services, and maintain awareness of entire material support condition for assigned projects.
  • Plan, coordinate, and organize the daily maintenance operations, activities, and communications for the facilities department.
  • Create, assign, and coordinates work orders.
  • Prepare and process contractor, agency, and vendor contracts.
  • Coordinate facilities maintenance and repair projects.
  • Procure and maintain parts, supplies and tool inventory for disbursement in support of work order execution.
  • Train facilities and school district end users on utilization of the work order software.
  • Use work order software to develop metrics to determine:
  • Facilities conditions
  • Priority of work
  • Work order execution rate
  • Whole-of-facility repair vs. replacement strategies
  • Various other decision points as needed
  • Perform other related duties as assigned.

Knowledge, Skills and Abilities:

  • Ability to collaborate closely with school district staff and school employees as well as vendors, contractors, and other agencies to understand the work to be performed and timelines for completion.
  • Skill in planning and executing facilities maintenance projects to include developing maintenance plans, leveling workloads, and tracking the availability of project materials to adjust and manage project execution.
  • Skill in using software to track funds, monitor status, and generate reports for leadership.
  • Proven ability to monitor, analyze, and control facilities production workflow by prioritizing customer demands, managing work-in-progress, and adapting to shifting requirements.
  • Skill in identifying bottlenecks, recommending alternative actions, and reallocating resources to meet urgent needs while maintaining operational efficiency
  • Skill in managing project funds to adhere to budgetary constraints, including monitoring fund availability to support production decisions.
  • Ability to perform cost-saving analysis and implement measures to improve the cost-effectiveness of maintenance and repair projects
  • Demonstrated ability to serve as the primary point of contact for diverse customers and internal stakeholders. This includes providing clear updates on project status and priorities, managing expectations, and collaborating across departments to ensure alignment on project goals.
  • Ability to work flexible hours as some work would need to be performed outside of normal school hours.
  • Knowledge, tolerance, and understanding of school rules and procedures and execute work while minimizing disruption to maintaining the educational environment.

Minimum Qualifications:

  • Strong working knowledge of computerized maintenance management system software such as (but not limited to) Maximo, Brightly, Gridbase, OperationsHERO etc.
  • Five years of relevant experience.

Preferred Qualifications:

  • Associate’s Degree in facilities management or related field/trades.
  • Certified Facility Manager, Facilities Management Professional, or similar.

Working Conditions & Schedule Requirements:

  • May be required to work during critical demand periods, emergency situations, weekends, evenings, or scheduled vacations.
  • May be required to work outside of normal work days and office hours to meet installation deadlines.
  • May reschedule holiday weeks to accommodate the school's needs for required facilities installations, repairs, or maintenance.

Physical Demands:

This job is considered "Medium Duty" which involves occasional exertion of 20-50 pounds of force and/or 10-25 pounds frequently to move objects. Ability to stand on feet for extended periods of time, stoop, and bend. Ability to lift and carry items up to 40 pounds.

Pay: $63,695.00 - $69,623.00 per year
