Summary:
Under the direction and supervision of the Early/Middle College (EMC) and Compliance Coordinator, the Administrative Assistant will ensure the smooth and efficient operation of the EMC program and provide administrative services to support compliance needs. This role will primarily support the Coordinator and EMC team. The administrative assistant will assist in the coordination and management of the EMC program and support compliance with a primary focus on preparing and organizing documentation, answering inquiries, and providing information to teachers, students, families, sending school staff and other stakeholders.
We are currently seeking an Administrative Assistant for Early/Middle College Compliance at the KRESA Career Connect Campus in Kalamazoo, Michigan. The essential responsibilities for this position include but are not limited to:
Essential Duties and Responsibilities:
- Align services with KRESA Core Values (Collaboration, Innovation, Compassion, Respect, and Integrity) and Culture & Belonging principles to engage and serve all students
- Provide comprehensive administrative support to the EMC program and compliance needs, including scheduling, document preparation, and coordination of daily operations.
- Maintain organized records, files and systems to ensure efficient access to EMC student and program information and compliance information.
- Prepare documents (correspondence, forms, reports, etc.) to communicate information to teachers, students, families, sending school staff and other stakeholders.
- Communicate effectively with EMC and Career Connect Campus building leadership, students, families, staff and other stakeholders by providing clear, timely, and accurate information while maintaining professionalism and confidentiality.
- Collect, track, maintain and update accurate program and student data and compliance data across multiple systems and platforms.
- Generate routine reports related to student enrollment, student progress, and program metrics.
- Collaboratively organize and participate in events with staff.
- Facilitate communication among the EMC and Career Connect Campus building leadership, students, parents, staff, and districts using skills such as record keeping, filing, note taking, and word processing.
- Answer, screen, or forward phone calls providing information or taking messages.
- Respond to all stakeholders in a cordial, courteous matter.
- Maintain a schedule of appointments for EMC Coordinator.
- Maintain program and compliance calendar of events.
- Organize outreach efforts, prepare documents, and actively participate in annual CTE Follow-up Survey.
- Organize and maintain files for annual CTE instructor CIP self-review.
- Prepare and organize documentation to support annual calendar of compliance tasks for CTE.
- Organize EMC team and compliance meetings, including scheduling, preparation of necessary documents and data.
- Assist with the end of the year reporting, state audits, and statistical information as requested.
- Schedule and confirm appointments, use of meeting spaces, and ability to arrange travel, housing accommodations, meals, etc.
- Support EMC student recruitment efforts.
- Support EMC student enrollment processes.
- Utilize PowerSchool student information system and CTEIS state reporting system to maintain and update current and accurate records.
- Partner with Registrar and Coordinator to support dual enrollment processes including student enrollment, and communication with secondary and postsecondary partners.
- Other duties as assigned.
Must have knowledge of and comply with the policies and procedures contained in the Kalamazoo RESA handbook.
This is a 11 month calendar position in job grade 12 with an annual rate of pay between $30,256 and $43,166.
Education and/or Experience:
High school diploma or equivalent.
Recent and relevant work experience in a school setting; preferably at the secondary level.

Experience in administrative support, office management, or education settings.
Proficiency in Microsoft Office and Google Workspace.
Knowledge of bookkeeping.
Ability to organize, set priorities, meet deadlines, make sound decisions, attention to detail, and follow through on a variety of assigned tasks.
Demonstrates excellence in clerical skills, including accurate filing, proofreading, grammar, spelling, punctuation, arranging letter format, etc.
Demonstrates ability to communicate clearly and effectively in both oral and written communication.
Ability to establish cooperative working relationships with district staff to enhance the completion of assigned tasks.
Flexible in learning new concepts, cooperates with others, and adapts to a variety of assignments and conditions.
