Primary Purpose             

The Finance Director position is responsible for maximizing the return on financial assets by establishing financial policies, procedures, controls and reporting systems. This position ensures legal and regulatory compliance for all accounting and financial reporting functions. The Finance Director also oversees cost and general accounting, accounts receivable/collection and an LLC.

Education and Experience          

Bachelor’s degree in accounting plus 3-5 years’ experience, or equivalent combination education and experience. Requires knowledge of GAAP, business practices for non-profit corporations, experience with LLC’s, extensive experience managing financial aspects of contracting, management of accounts receivable, and providing in-depth information and guidance to executive staff and board for directors. Ability to facilitate annual budget review process and prepare and present monthly/quarterly financial reports. Experience with commercial insurance billing and property management preferred.

Minimum Qualifications

  • Provide proof of current, valid Oregon Driver’s License (or if out-of-state will obtain Oregon license within 30 days), comprehensive automobile insurance (if applicable) and a safe driving record (minimum of 3 yrs.) to use company or personal vehicle for required duties.
  • Successfully pass a Criminal Background Check and Medicaid Fraud Check.

Essential Duties, Responsibilities and Core Competencies

  • Financial Management
  • Ensure maintenance of accurate accounting records in accordance with generally accepted accounting principles.
  • Document and track accounts receivable balances.
  • Work closely with Access Department to ensure that billing functions are providing timely receipt of outstanding receivables.
  • Oversee accounts payable.
  • Prepare and present monthly financial statements with explanations of budget variance to the Executive Management, Fiscal Committee, and Board of Directors in a timely manner.
  • Prepare costing analysis, budgetary projections and financial planning information for Executive staff and Board of Directors.
  • Prepare and distribute related reports to regulatory entities.
  • Prepare general ledger entries.
  • Perform banking functions including bank deposits and monthly reconciliation.
  • Develop, review and revise fiscal policies.
  • Review financial processes and ensure internal controls are in place and sufficient.
  • Prepare for and arrange the annual external audit while working closely with the external auditor to make necessary corrections and adjustments.
  • Prepares financial reports and budgets for the Board of Directors and Administrators.
  • Attend monthly Board of Directors Fiscal Committee meetings and Board Meetings.
  • Review departmental financial statements and provide budgetary guidance to Managers as applicable.
  • Work with operations managers to develop expectations as part of the budgetary process; reviewing assumptions for legitimacy.
  • Prepare and present annual budgets and mid-year revised estimates.
  • Implement controls related to budgetary process.
  • Maintain working knowledge of all current contracts and expected revenue; identify and report deviation from expected revenue.
  • Participate in legitimate agency business activities, including community partner functions.
  • Full cycle management of property management LLC. 

Administrative Duties

  • Participate in continuous quality improvement efforts.
  • Support management and staff on behalf of the agency goals and objectives.
  • Maintain a neutral and positive relationship and understanding of the needs of staff and clients.

Supervisory:

Lead, train and develop Finance staff for maximum effectiveness. Performs all supervisory responsibilities for assigned staff, which may include scheduling and assigning work, training, hiring, and addressing, and/or documenting performance or disciplinary issues

Provide full backup to Finance Coordinator position.

Leadership:

  • Member of the Senior Executive Team.  Attends Executive Team meetings and participates in decision-making and problem resolution processes.
  • Participates in the development of the Kairos’s plans and programs, particularly from the perspective of the impact on clients and employees.
  • Actively promotes the mission and values of the agency externally and internally.
  • Leads change initiatives when appropriate.  Manage change to achieve continuous improvement of both the Finance department and the agency.
  • Ability to positively influence colleagues and stakeholders.
  • Participates in developing leadership within the agency.
  • Actively participates and represents the agency in appropriate external committees, trainings, and other stakeholder gatherings

Other Duties

  • Perform other related work as assigned.
  • Attend trainings and meetings as assigned. May be appointed to committees.

  • Ability to be flexible and adjust schedule as necessary to fit program needs and meet the needs of youth and their families.

While performing the duties of this job, the staff person is regularly required to use hands to type, handle, reach with hands and arms, talk or hear. The staff person frequently is required to stand and walk. The staff person is occasionally required to sit, stoop, kneel, crouch or crawl. The staff person must frequently lift and or move up to 10 pounds and occasionally lift and/or move up to 45 pounds.  Specific vision abilities required for this job include close vision, distance vision, and depth perception and operating a motor vehicle.

While performing the duties of this job, the staff person is frequently exposed to loud noises, outside weather conditions such as heat, cold and humidity.  The staff person is occasionally exposed to chemical solutions and body fluids. 

 

Hazardous Conditions: Risk of verbal and physical threats and harm from clients. Possible exposure to air and Bloodborne Pathogens.

 

Equipment Used: May include general office equipment, such as computer, telephone, agency or personal vehicle, general cleaning supplies, and kitchen utensils/supplies.

 

Travel: Travel is expected for required trainings.
