What You'll Do:
The Talent Acquisition Operations Specialist supports and optimizes our recruiting function. This solutions-oriented role serves as the operational backbone of Talent Acquisition, partnering closely with recruiters, hiring managers, candidates, and cross-functional teams to deliver an exceptional hiring experience. The ideal candidate is passionate about operational excellence, recruiting technology, process improvement, and leveraging AI-enabled tools to create scalable recruiting practices within a fast-paced biotechnology environment.
Required location: Waltham, MA (hub-based, onsite 3-4 days per week)
Responsibilities:
- Manage complex interview scheduling across multiple teams, time zones, and leadership levels
- Serve as the primary point of contact for candidates throughout the interview process, delivering a best-in-class candidate experience
- Coordinate interview logistics, confirmations, panel scheduling, and follow-up communications
- Ensure candidate movement through recruiting stages is accurate, timely, and well communicated
- Partner with recruiters to build candidate pipelines through proactive sourcing and talent market research
- Maintain data integrity within Greenhouse and other recruiting systems
- Serve as a primary resource for recruiting process guidance and operational support
- Support recruiting operations by ensuring efficient workflows and consistent hiring practices
- Maintain and optimize the Applicant Tracking System (Greenhouse) and related recruiting technologies
- Serve as a subject matter expert for Greenhouse, supporting workflow optimization, and reporting
- Identify opportunities to automate manual processes and improve recruiting efficiency
- Evaluate and leverage AI-enabled recruiting tools to improve sourcing, scheduling, reporting, and candidate communications
- Document recruiting processes and support continuous improvement initiatives
- Provide training and support to recruiters and hiring managers on recruiting systems and processes as needed
- Other duties as assigned
Required Qualifications:
- 5 years supporting Talent Acquisition, Recruiting Operations, Recruiting Coordination, or a related function
- Experience with Greenhouse Recruiting
- Experience coordinating complex interviews in a fast-paced environment
- Experience using LinkedIn Recruiter or comparable sourcing platforms
- Strong analytical, organizational, and communication skills
- Advanced proficiency with Microsoft Office, particularly Excel and PowerPoint
- Excellent written and verbal communication skills
- Ability to manage multiple priorities in a fast-paced environment
Preferred Qualifications:
- Biotechnology or pharmaceutical recruiting experience
- Knowledge of AI-enabled recruiting technologies
- Experience improving recruiting processes and systems and creating scalable processes
- Experience with recruiting analytics, dashboards, and workforce reporting
- Familiarity with ADP Workforce Now and talent management systems
Education:
- Bachelor's degree preferred
