Fuel & Facilities Operations Specialist
The Fuel & Facilities Operations Specialist plays a critical role within KAG’s Corporate Services team by supporting day-to-day functions of both Fuel Operations and Property Management. This position ensures accuracy in billing, supports vendor and maintenance activity for KAG properties, manages critical fuel administration processes, and provides responsive support to our internal customers across the organization.
This role is ideal for someone who is detail-oriented, organized, proactive, and thrives in a fast-paced environment where accuracy and dependability are essential.
Key Responsibilities
Facilities / Property Support
- Review, validate, and approve utility bills and property-related payables, ensuring appropriate coding accuracy and timely processing.
- Coordinate facility repair and maintenance needs, including intake, prioritization, scheduling, and follow-through to resolution.
- Manage the vendor lifecycle, including securing quotes, coordinating vendor setup, ensuring compliance requirements are met, and processing invoices.
- Track and monitor work orders, response times, and completion status, ensuring minimal disruption to operations.
- Partner closely with Finance, Corporate Services, and field leaders to ensure transparency, accuracy, and alignment on property-related activities and costs.
Fuel Operations Support
- Review, verify, and approve fuel invoices, reconciling discrepancies as needed.
- Perform daily fuel imports, ensuring accurate upload of transactional fuel data.
- Manage fuel card administration, including daily card setups, approvals, and troubleshooting issues for field and support teams.
- Provide daily phone support to internal customers regarding fuel access, usage, and billing inquiries.
- Administer weekly fuel reimbursements and deductions, ensuring accuracy and timely processing.
- Maintain daily bulk fuel pricing updates, ensuring current and reliable pricing information is available to support operational and financial decision-making.
Qualifications:
Qualifications
- High School diploma required; Associate Degree preferred.
- Experience in operations support, accounts payable, facilities management, fuel operations, logistics, or similar corporate services environment preferred.
- Strong attention to detail with the ability to manage multiple priorities in a fast-moving environment.
- Experience working with billing, invoices, and transactional data.
- Excellent communication and customer service skills with the ability to partner effectively across multiple teams.
- Proficiency in Microsoft Office and the ability to quickly learn internal systems and tools.
- Strong organizational skills, accountability, and ability to work independently while contributing to a broader team mission.
