Duties
- Manage front desk responsibilities, greeting visitors and directing them appropriately with professional phone etiquette.
- Operate multi-line phone systems to handle incoming calls efficiently, providing excellent customer support and support to team members.
- Maintain accurate data entry using computer skills, including Microsoft Office and Google Workspace tools, ensuring all records are up-to-date.
- Organize and file documents systematically, supporting office management with clerical tasks such as proofreading, filing, and document preparation.
- Assist with calendar management and scheduling appointments or meetings using digital tools to optimize time management.
- Perform basic bookkeeping tasks using QuickBooks or similar accounting software to support financial recordkeeping.
- Support office management activities by coordinating supplies, managing mail distribution, and maintaining a clean, organized workspace.
Qualifications
- Proven experience in an office environment with strong clerical and administrative skills.
- Excellent computer literacy including proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications.
- Demonstrated ability to handle multi-line phone systems with professionalism and courtesy.
- Bilingual abilities are highly valued to assist diverse clientele effectively.
- Strong organizational skills with keen attention to detail; capable of managing multiple priorities simultaneously.
- Experience with data entry, proofreading, filing systems, and customer service is preferred.
