MAJOR JOB DUTIES: Duties include, and are not limited, to the following:
Ø Work with vendors to achieve the best pricing for material quotes and follow up to ensure timely delivery
Ø Receive three quotes and create requisitions for material orders
Ø Create requisitions and purchase orders in Adaco
Ø Issue to vendors or sub-contractors
Ø Receive products, inventory, check against purchase orders, and enter information in Adaco
Ø Advise supervisors and engineers when orders are received
Ø Schedule training for the engineering team
Ø Set appointments for director and supervisors
Ø Data entry on charts, spreadsheets, letters, faxes, memos, and other correspondence
Ø Dispatch, answer phones, create and input work order requests in Hot-Sos
Ø Schedule vendors for equipment repair and maintenance
Ø Maintain log books
Ø Confirm material orders with engineers and supervisor
Ø Keep weekly attendance sign in log book up to date and scan sign in sheets to file
Ø Update and post weekly 2-week work schedule for engineering department.
Ø Verify PTO requests weekly with engineering supervisors.
Ø Engrave, log and track all new tools, radios and devices.
Ø Work with accounting on invoices when needed.
Ø Enter and track Hot-Sos calls.
Ø Contact elevator company when needed for repairs and maintenance
Ø Schedule repairs for all carts and equipment.
Ø Keep attendance points up to date for engineers and notify Director as action is needed.
Ø Create legal file for small remodel projects.
Ø Request all current COI, W9, Safety information from sub-contractors and file.
Ø Call and schedule inspections.
Ø Monitor engineering radio.
Ø Order and maintain all office supplies.
Ø Keep office area in an orderly manner.
Ø Schedule interviews when needed.
