This role manages daily department operations, serves as the first point of contact for internal and external inquiries, and ensures smooth coordination across multiple stakeholders. By streamlining processes and improving alignment, the Office Coordinator helps the team focus on delivering experiences that embody our client’s values and storytelling vision.
It is an essential function of this position that the work be performed from the departments offices (5 days per week in Burbank, CA), as the role requires hands-on coordination of department operations, in-person support for events, and access to on-lot facilities.

Job Responsibilities
- Managing the Special Events phone line and inquiries, ensuring timely and professional responses.
- Coordinating department orders (snacks, event inventory, supplies, and specific event needs).
- Supporting the setup of team meetings, 1:1s, and executive meetings, including scheduling and logistics.
- Building decks and presentations, ensuring consistent, high-quality communications.
- Acting as the “go-to” person for the team, improving alignment, communication, and process flow across the department.
- 3 years of administrative or coordination experience in a fast-paced environment.
- Background in events, hospitality, or studio/entertainment industry.
- Ability to work effectively in high-pressure, live-event environments and adapt quickly to changes.
- Understanding of union vs. non-union work environments and vendor/staffing practices.
- Experience supporting executive schedules, including calendar management.
- Proficiency with Microsoft Office Suite and presentation platforms (PowerPoint, Google Slides).
- Excellent written and verbal communication skills.
