What We Are Looking For
We are looking for a detail-oriented, highly organized Retail Operations Specialist to own the day-to-day execution of order management, logistics coordination, and customer operations across our retail and distributor accounts. This role is the operational backbone of our retail business — ensuring orders are accurate, shipments are compliant, and our retail and distributor partners have a responsive, reliable point of contact on the operations side.
You will work across EDI and portal-based order channels, coordinate with warehouse partners and 3PLs, and partner closely with Demand Planning, Supply Chain, Finance, and Sales to keep orders flowing accurately and on time. You are someone who thrives in a high-volume, detail-heavy environment, takes ownership of your accounts, and proactively communicates before small issues become bigger ones.
The ideal candidate brings 1–3 years of operations, customer service, or supply chain experience in a CPG, food and beverage, or related industry, with hands-on familiarity with EDI platforms, retailer portals, and order management systems.
What You’ll Do
Order Management
- Enter, manage, and track orders across retail and distributor accounts — including EDI and portal-based channels — ensuring accuracy from receipt through confirmation.
- Validate pricing, UPCs, ship-to locations, and order details prior to confirmation, catching and resolving discrepancies before they generate downstream billing or compliance issues.
- Generate and submit order acknowledgments and advance ship notices (ASNs) in compliance with each customer’s specific requirements and deadlines.
- Manually enter orders for customers not yet integrated via EDI (e.g., Associated Foods) and support EDI configuration coordination as new accounts are onboarded.
- Communicate order changes, delays, or discrepancies to internal and external stakeholders in a timely and proactive manner.
Logistics & Shipping
- Coordinate outbound shipments with warehouse partners and third-party logistics providers (3PLs) — ensuring orders are picked, packed, and tendered in alignment with customer ship windows and routing guide requirements.
- Ensure compliance with customer routing guides and shipping requirements across all retail and distributor accounts, minimizing OTIF exposure and compliance chargebacks.
- Monitor deliveries in transit and proactively resolve exceptions, delays, or carrier issues — communicating status updates to customers and internal stakeholders as needed.
- Support freight management across all aspects of outbound supply chain operations, including carrier coordination and load tendering.
- Assist with lot allocations related to artwork transitions, case pack changes, and re-pack projects in coordination with Supply Chain and warehouse teams.
Invoicing & Deductions Support
- Gather and organize supporting documentation — including proof of deliveries (PODs), purchase orders, and bills of lading (BOLs) — to support accurate and timely billing.
- Maintain clean, organized records by account that are audit-ready and accessible to Finance for deduction dispute and chargeback resolution.
- Partner with the Finance team to provide documentation and account history in support of deduction disputes and chargeback resolution as needed.
Customer & Account Support
- Serve as the primary operations contact for assigned retail and distributor accounts — responding promptly to inquiries related to orders, shipments, compliance, and account setup.
- Support onboarding of new customers, including setup forms, item data submission, and EDI configuration coordination with internal IT and retailer partners.
- Maintain and update customer item specifications, UPCs, and product data across applicable retailer portals in partnership with the product development team.
- Build and maintain strong working relationships with customer operations and replenishment contacts to facilitate smooth, efficient order execution.
Reporting & Systems
- Distribute a daily open-order report to Demand Planning and Supply Planning teams, ensuring full visibility into order status, cuts, and exceptions.
- Support fill rate tracking and communicate order cuts or shortfalls to relevant stakeholders with sufficient lead time for planning adjustments.
- Assist in aggregating on-time delivery data across multiple sources and carriers to support compliance reporting and retailer scorecards.
- Participate in new system testing and user acceptance testing (UAT) as required, including ERP updates, EDI integrations, and portal migrations.
- Handle ad hoc reporting requests related to retail customer performance, order accuracy, and compliance metrics.

Qualifications:
What You’ll Bring
Education & Experience
- Bachelor’s degree in Business, Supply Chain, Operations, or a related field — or equivalent work experience.
- 1–3 years of experience in operations, customer service, or supply chain — preferably in CPG, food and beverage, or a related industry.
- Familiarity with EDI platforms, order management systems, and distributor portals (e.g., KeHé Connect, UNFI portal, or comparable retailer portals).
- Experience with ERP or warehouse management systems (NetSuite, SAP, or similar) is a plus.
Technical Skills
- Proficiency in Microsoft Excel or Google Sheets — comfortable managing and organizing high-volume order and shipment data.
- Familiarity with retailer compliance portals and routing guide requirements across at least one major retail or distributor account.
- Comfort working across multiple systems simultaneously — EDI platforms, retailer portals, ERP, and communication tools — without losing accuracy or urgency.
Soft Skills
- Exceptionally detail-oriented with the ability to manage high order volume across multiple accounts without losing precision.
- Clear and proactive communicator — comfortable coordinating across warehouse, logistics, Finance, and customer teams both in writing and verbally.

Salary : $55,000 - $65,000
