Purpose: The Office Manager is responsible for overseeing the day-to-day operations of Just Food's office, providing administrative support, and managing various financial and organizational tasks.

Key Responsibilities

  • Core Duties:
  • Manage office operations and provide administrative support.
  • Handle incoming inquiries and communications.
  • Manage financial and accounting tasks.
  • Maintain records and databases.
  • Assist other departments as needed.
  • Specific Tasks:
  • Answer phone calls and email inquiries.
  • Route inquiries to appropriate staff members.
  • Accept and manage donations.
  • Track and manage budgets.
  • Process accounts payable and billing.
  • Manage donor database.
  • Maintain files and records.
  • Assist team members with various tasks.
  • Monitor office supplies and inventory.
  • Receive and manage incoming mail.
  • Deposit donations.
  • Manage logins and passwords.
  • Prepare and process check requests.
  • Coordinate with accountants,auditors and staff on financial matters.
  • Assist with in-kind donation tracking and invoicing.
  • Enter donations into Bloomerang.
  • Provide excellent customer service.
  • Assist Development, Operations & Impact Director.
  • Provide support to the Executive Director as needed.
  • Manage postage and mailing.
  • Provide hourly time for part-time staff.
  • Reconcile accounts and prepare reports.
  • Invoice vendors.
  • Assist with end-of-year tax receipts.
  • Assist with food donation reporting.
  • Assist with fundraising efforts and acknowledgments.
  • Assist with Douglas County Community Foundation (DCCF) audits.
  • Assist with budget planning.
  • Manage catering payments and invoices.
  • Onboard new staff to financial procedures, submitting enrollment for staff healthcare and benefit plans.
  • Performance Expectations:
  • Efficiently manage office operations and provide timely administrative support.
  • Respond promptly and accurately to inquiries.
  • Maintain accurate financial records and budgets.
  • Ensure compliance with financial regulations and procedures.
  • Organize and maintain files and records effectively.
  • Provide excellent customer service and support to team members.
  • Contribute to a positive and efficient work environment.

Qualifications

  • Education: High school diploma or equivalent required. Associate's degree in business administration or a related field preferred.
  • Experience: Minimum of 3 years of experience in office administration or a similar role. Experience with accounting and financial management preferred.
  • Skills:
  • Strong organizational and time management skills.
  • Excellent communication and interpersonal skills.
  • Proficiency in Microsoft Office Suite, Google Business Suite, QuickBooks and other relevant software.
  • Attention to detail and accuracy.
  • Ability to multitask and prioritize tasks effectively.
  • Customer service orientation.
  • Passion for addressing food insecurity and reducing food waste.
  • Ability to work independently and as part of a team.
  • Willingness to collaborate or assist with tasks outside of this job description, as needed and when it doesn’t interfere with one's own job duties.
  • Basic knowledge of smartphones, Google Suite, Microsoft Office & web based platforms such as Bloomerang, Link2Feed, etc.
  • Certifications: None required.

Working Conditions

  • Environment: Primarily works in an office setting. May occasionally work from home or attend off-site meetings.
  • Physical Demands: Requires frequent sitting, standing, and computer work. May involve lifting and carrying office supplies.

All remote work requests must be submitted in writing to the Executive Director for review and approval. Please note that final approval for remote work arrangements rests solely with the Executive Director.
