Position Summary

The Head of Finance and Facilities serves as the senior financial and operational leader responsible for the strategic direction and day-to-day management of the school’s finance, accounting, business operations, facilities, financial aid, risk management, and administrative services. Reporting to the Chief Operations Officer, this executive partners with the leadership team and Board to ensure sound fiscal stewardship, operational excellence, regulatory compliance, and the long-term sustainability of the school while supporting its Catholic mission.

Finance and Accounting

· Lead all financial planning, budgeting, forecasting, cash flow management, investments, and asset management.

· Advise the President, executive leadership, Finance Committee, and Board on short-, medium-, and long-term financial strategies and projections.

· Prepare monthly financial statements, Board reporting packages, key performance indicators, and financial analyses.

· Develop long-range financial models, capital budgets, and deferred maintenance funding plans.

· Oversee accounting operations, annual independent audits, internal controls, regulatory compliance, and implementation of business policies and procedures.

· Monitor financial performance, tuition revenue, and institutional resources to support strategic decision-making.

Facilities

· Provide executive oversight of campus facilities, maintenance, capital improvement projects, vendor contracts, food service, insurance, legal agreements, and facilities services.

· Develop capital improvement and deferred maintenance plans.

· Oversee fixed asset inventories and replacement schedules.

· Ensure campus facilities are safe, well maintained, and operationally efficient.

· Recommend procedures that minimize organizational risk and liability.

Payroll and Employee Compensation

· Provide support for payroll processing to ensure timely, accurate, and compliant payroll administration during absences or peak processing periods.

· Partner with Human Resources to implement compensation changes in Paylocity.

· Ensure faculty compensation complies with the Collective Bargaining Agreement and applicable policies.

· Maintain payroll records and oversee payroll audits and reconciliations.

Financial Aid and Student Accounts

· Provide strategic oversight of tuition planning, financial aid administration, student account management, tuition receivables, and collection activities.

· Collaborate with the Financial Aid Manager to administer financial aid in support of the School’s mission and recommend annual tuition adjustments.

Leadership

· Serve as a member of the executive leadership team.

· Supervise finance, accounting, financial aid, facilities, and related business office staff.

· Establish policies and procedures.

· Advise the President and Board on financial strategy, operational priorities, and institutional risk management.

· Represent the School in finance, facilities, and operational matters with external partners and regulatory agencies as appropriate.

Qualifications

· Bachelor’s degree in Finance, Accounting, Business Administration, or related field; CPA or MBA preferred.

· Five or more years of progressively responsible leadership experience in finance and operations, preferably in a nonprofit or educational environment.

· Strong knowledge of nonprofit accounting, budgeting, financial reporting, internal controls, facilities management, financial systems, and risk management.

· Experience preparing Board-level financial reports, leading audits, and managing multiple operational functions.

· Proficiency with Microsoft Office, Google Workspace, cloud-based financial systems (Sage Intacct preferred), Paylocity, and tuition management systems is preferred.
