Contract and Billing Coordinator

Juniper is Growing! The Contract and Billing Coordinator is responsible for managing contract data and billing processes related to both recurring maintenance services and ancillary services. This role prepares and distributes invoices utilizing the Company’s landscape management software to ensure proper revenue recognition and generation. By optimizing workflows, facilitating communication, and maintaining data integrity, the coordinator enhances operational efficiency and contributes to the Company’s financial objectives.

Responsibilities:

• Manage customer information and contract renewals for contracted maintenance services, as well as create and administer opportunities and proposals for both contracted maintenance and ancillary services within the landscape management software.
• Prepare, process, and distribute monthly invoices for maintenance service contracts and ancillary services upon completion, ensuring accurate material allocation on work tickets.
• Track and process contract change orders for all maintenance contracts and ancillary opportunities.
• Audit work tickets and invoice details, collaborating with internal teams to resolve discrepancies promptly.
• Assist managers by preparing, organizing, and delivering necessary documents and information to clients and internal teams.
• Serve as the primary liaison for operational leaders, addressing all contract and billing inquiries and providing guidance to ensure compliance with company policies.
• Collaborate with operations and sales teams to verify that data in the landscape management software accurately reflects the terms of executed contracts.
• Manage overdue accounts by issuing past-due notices for invoices exceeding 30 days and escalating those overdue by 31 or more days to Accounts Receivable.
• Monitor and assist with inventory materials to ensure accuracy during end-of-month closing procedures.
• Compile and present data-driven reports to support departmental reviews and informed decision-making.
• Identify and implement process improvements to enhance the efficiency and effectiveness of contract and billing workflows.
• Follow and promote safety policies, practices, and procedures to ensure safe working conditions and behaviors are maintained.

Qualifications:

• 2 years of administrative experience, preferably in landscaping, irrigation or other related field.
• 3 years of experience in contract administration and management preferred.
• Strong verbal and written communication skills, with the ability to effectively share information across teams and stakeholders.
• Proficient in computer and technology skills including working knowledge of Microsoft Office Suite and mobile devices.
• Willingness and ability to travel up to 10% of the time to support other locations, attend training sessions or meetings, or for other business-related purposes.
• Must possess a valid US driver’s license (or equivalent) and meet Motor Vehicle Record (MVR) verification requirements.
