Position Overview
We are seeking a detail-oriented, reliable, and proactive Operations Coordinator to support the day-to-day administrative and operational needs of our organization.
This role is ideal for someone who enjoys keeping things organized, ensuring nothing falls through the cracks, and supporting a mission-driven team behind the scenes. You will play a critical role in helping our programs run smoothly by managing administrative tasks, supporting financial processes, and assisting with event logistics.
Key Responsibilities
Administrative & Office Support
- Answer phones, respond to general inquiries, and provide excellent customer service to stakeholders
- Maintain organized filing systems (digital and physical)
- Manage incoming and outgoing mail
- Assist with data entry and database updates (donors, volunteers, schools, etc.)
- Support internal documentation and process organization
Bookkeeping & Financial Support
- Assist with accounts payable and receivable
- Enter and track transactions in QuickBooks Online
- Support expense tracking and budget monitoring
- Reconcile receipts and maintain accurate financial records
- Assist with basic financial reporting and documentation for audits or grants
Program & Kit Coordination
- Order, track, and organize program kits and materials
- Monitor inventory levels and coordinate restocking
Event & Program Support
- Assist with planning and coordination of events (e.g., JobSpark, Miss Business, fundraising events)
- Help manage event logistics such as registrations, materials, signage, and setup
- Coordinate with vendors, volunteers, and partners as needed
- Support on-site event execution when required
Operations & Team Support
- Maintain office supplies and coordinate ordering
- Assist with scheduling meetings and managing calendars
- Support onboarding logistics for volunteers and staff
- Help track projects and tasks using tools like Monday.com
- Provide general support across departments as needs arise
Qualifications
- Strong organizational skills and attention to detail
- Ability to manage multiple tasks and prioritize effectively
- Comfortable with administrative and financial systems (QuickBooks experience preferred)
- Proficiency in Microsoft Office
- Strong communication and customer service skills
- Self-motivated with the ability to work independently
- Experience in nonprofit, office administration, or operations support is a plus
