Administrative Coordinator
Overview: Junior Achievement of Abilene inspires and prepares young people for success through hands-on educational programs that equip them with the skills they need for a thriving future
Position: Part-Time non-exempt hourly (16 hours/week Mon. β Thurs. schedule)
Position Description: The Administrative Coordinator will play a vital role in supporting the Education Manager and Executive Director. This position is crucial for ensuring smooth office operations, maintaining accurate financial records, enhancing marketing outreach, and effectively supporting volunteer management.
Core Responsibilities:
Office Administration
- Maintain and update donor records in the CRM system
- Daily Operations to include managing all aspects of office logistics, including handling incoming and outgoing mail, preparing deposits, and drafting acknowledgment letters for the Executive Director's signature
- Ordering of supplies for office, events, and programs, as needed
- Scholarship program, including assisting with the selection process, orientation, and payments to universities
- Support the planning and execution of education and fundraising events. Set up online giving campaigns using platforms like Qgiv
- Payables and Receivables, ensuring all expenses/income are coded correctly in QuickBooks
- Prepare materials and logistics for meetings
- Draft meeting notes and follow up on action items
Marketing Coordination
- Promote fundraising campaigns and donor initiatives using various communications vehicles
- Contribute to the creation of development-related content for newsletters, social media, and donor materials
- Draft, proofread, and manage correspondence, reports, and presentations
Volunteer Coordination
- Assist inrecruiting corporate and community volunteers to deliver JA curriculum effectively, ensuring a diverse pool of talent
- Assist the Education Manager in registering volunteers in the program database and obtaining the proper documents required for volunteering
Qualifications
- High school diploma or equivalent
- 1-2 years of experience in office management or a related field
- Proficient in QuickBooks and Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
- Experience with CRM systems for data collection and reporting
- Familiarity with Canva and Constant Contact is advantageous
- Excellent project management and execution skills
- Excellent verbal and written communication skills
- Must pass a background check
- Willingness to take on other duties as assigned
Compensation: $15-$16 per hour, depending on experience
