Volunteer Engagement Coordinator

POSITION SUMMARY

This position supports the Volunteer Engagement team and the broader organization by coordinating the volunteers who make JA North’s educational experiences possible. You will spend your days making the volunteer process a fun and valuable experience! This position supports the full spectrum of the volunteer experience by implementing volunteer stewardship practices and coordinating recruitment materials, communication, Volunteer Hub management, and post-experience surveys. In addition, this position will provide support to staff in building and maintaining the volunteer community.

POSITION STATUS: Full Time, Exempt

COMPENSATION RANGE: $22.00-$24.00 per hour

RESPONSIBILITIES:

Volunteer Communication & Engagement

• Manage general volunteer communications, including responding to inquiries, educator communications, Volunteer Hub communications, and sending confirmations and reminders
• Communicate event updates with volunteers
• Attend tabling events as needed for recruitment and engagement

Educator Communication

• Communicate with educators as main JA contact
• Send reminder emails to all educators
• Answer general educator questions via email

Volunteer Management System

• Responsible for all Volunteer Hub coordination
• Create all program events and landing pages in VolunteerHub
• Update VolunteerHub events as needed (e.g., adjusting slot limits to reflect the minimum number of volunteers required after the event to calculate accurate fill rates)
• Send reminders to volunteers
• JA Info Sessions: Create these sessions in VolunteerHub and add participants (name, email, date, etc.) to prospecting lists

 Volunteer Check-In & On-Site Experience

• Manage and lead volunteer check-in and check-out processes
• Manage volunteer experience on-site
• Coordinate coverage plans with the VE Team for any planned absences (PTO, external meetings), communicating minimum two weeks out when possible
• Monitor volunteer feedback and share with the VE team
• Ensure hospitality stations are set up and broken down (coffee, snacks)

Front Desk & Administrative Support

• Serve as approved back-up for the main Front Desk support staff
• Manage and update the Volunteer Engagement calendar and inbox

QUALIFICATIONS

• Strong interpersonal skills and an ability to connect with a diverse audience
• Passion for or interest in working with students in school settings, supporting their learning and growth
• Volunteer Engagement coordination experience preferred
• Excellent organizational skills, including attention to detail, time management, and the ability to act effectively and think creatively
• Strong computer skills and proficiency in word processing, database management, and spreadsheet applications
• Strong work ethic and a flexible and non-judgmental approach toward people
• Comfortable with communication via phone, email, and print mail
• Ability to work effectively as part of a team and take initiative when the need arises
• Ability to contribute to a positive organizational culture
• VolunteerHub experience preferred
