- Keep it moving: Identify venues, gather quotes, compare vendors, and coordinate logistics that keep every program and event on track. This includes making phone calls, creating spreadsheets, placing orders, and keeping timelines and details moving forward.
- Make it shine: Prepare meeting spaces, coordinate hospitality, and manage food and beverage, facilities, recycling, and deliveries so every interaction reflects a professional, welcoming environment.
- Bring it together: Work closely with planners, partners, vendors, and leadership to ensure details align, communication flows, and execution runs smoothly. Answer incoming calls and check voicemails.
- Get it done: Run errands, print badges, make flyers, manage calendars, coordinate travel, prepare expenses, and build presentations to support program operations.
- Keep us in line: Prepare board meeting packets, manage permitting and insurance, and meeting gaming requirements to proper documentation and approvals are in place.
- 2-3 years professional experience with some college preferred.
- Proven executive assistant skills like making travel arrangements, reserving spaces, and gathering quotes.
- Comfortable with a fast-paced environment and working on multiple projects at the same time.
- Full proficiency with Microsoft Office Suite and the drive to learn new tools quickly.
- Ability to work both independently and collaboratively as part of a team.
- A sharp eye for detail and a flexible mindset when plans change (because they will).
- Willing and able to load, carry, and transport equipment/supplies.
- Available afterhours on occasion for special events like the Juneau Maritime Festival and FIRST tournaments.
- A valid driver’s license, reliable transportation, and a clean motor vehicle record are required.
- Must be 21 years of age or older to meet minimum state age requirements for certain tasks.
