The Role

The ideal candidate is a QuickBooks expert who understands the construction industry. You won’t just be filing papers; you will be managing the financial flow of our projects, coordinating with vendors, and ensuring our team is paid accurately and on time.

 

Key Responsibilities

  • Financial Management: Perform full-charge bookkeeping duties using QuickBooks or other billing applications, including accounts payable/receivable and bank reconciliations.
  • Payroll Processing: Manage weekly/bi-weekly payroll for field and office staff, ensuring compliance with tax regulations.
  • Project Billing: Prepare and submit progress billings, AIA documents, and invoices to clients.
  • Documentation: Track insurance certificates, lien waivers, and subcontractor agreements.
  • Office Operations: Manage office supplies, correspondence, and provide general administrative support to the project management team.

 

Required Qualifications

  • QuickBooks Mastery: 3–5 years of hands-on experience (Online or Desktop versions).
  • Industry Experience: Previous experience in construction, trades, or architecture is highly preferred.
  • Payroll & Billing: Knowledge managing payroll and complex billing cycles.
  • Tech: Proficiency in Microsoft Office (specifically Excel) and cloud-based management tools.
  • Detail-Oriented: A "sharp eye" for catching discrepancies in invoices or time-tracking.
